Main Responsibilities:

Work together with cross-functional teams and important stakeholders to implement and enhance smooth HR & Office operating procedures in order to advance the company's rules and regulations.

  • Ensure the seamless operation of HAN office and HR functions while delivering wow customer service to our employees and stakeholders.
  • Responsible for maintaining a well-organized, efficient, and supportive work environment that exceeds expectations in both administrative and HR-related tasks.

HR Operations:

  • Ensure that all HR processes are fully compliant with legal and regulatory frameworks, both internal and external.
  • You will be in charge of executing all HR processes, including onboarding, offboarding, headcount planning, hiring, performance management, and employee lifecycle activities, are fully compliant with legal and regulatory requirements.

Office Administration:

  • Ensure smooth and high standard office operations, focusing on health & safety, hygiene, and facilities maintenance.
  • Manage and maintain up-to-date Office Management Procedures and Policies, collaborating with departments to ensure compliance and proper adherence
  • Liaise with building management for essential services such as fire drills, cleaning, and maintenance.
  • Coordinate with the accounting team for bill payment and reimbursement processes, ensuring accuracy and timeliness.
  • Act as the main point of contact for office inspections and ensure compliance with all regulations.
  • Manage the procurement and distribution of office supplies, uniforms, equipment, and services, ensuring quality and cost-effectiveness.
  • Handle business travel arrangements, including booking flights, hotels, and ground transportation.
  • Assist in managing company assets, including equipment, supplies, and facilities.
  • Provide administrative support to various departments, including document management and correspondence.

HR Admin Functions:

  • Manage visa, work permit, temporary resident card, accommodation, and transportation arrangements for expats, ensuring a smooth experience.
  • Provide support and advice on HR policies, employee benefits, and other related matters, offering a Wow Service experience in all interactions.
  • Assist with the collection, signing, scanning, and filing of welfare and benefit reimbursement documents.
  • Take complete ownership of HR administration activities, including employee onboarding/off-boarding, orientation, probation assessments, and resignation/termination processes.
  • Support the organization of company events, such as monthly birthdays, team building, team dinners, and New Years celebrations, ensuring these events are memorable and impactful.

Involve in any required HR internal projects, always striving to exceed expectations and deliver Wow Service.

Requirement:

  • Proven 3 - 5 years' experience as a Senior Office Administrator, Executive Assistant, or in a related administrative role:
  • Service mindset.
  • Attention to detail and a professional demeanor.
  • Well-organized & multi-tasking skills.
  • Confident, mature, enthusiastic, and collaborative.
  • Having good knowledge of Vietnam Labor Law and HR best practices.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Ability to communicate effectively and professionally, both written and verbal.
  • Good command in English communication
