About This Role
The key focus for this role is to provide Business and project administrative support on Changi Terminal 5 project. The role requires a broad skill base, a high degree of technical capability, problem solving capability, initiative. flexibility, and professionalism. It also requires one with strong skills in data management and analysis in excel and commercial fundamentals.
What will I do?
- Provide administrative and operational support on travel arrangements, arranging internal/external meetings and workshops, calendar management, staff onboarding and other business support duties as needed.
- Analytical tasks including running reports and analytics on Microsoft PowerBI and editing moderately complex excel sheets including pivoting data and advanced functions.
- Weekly monitoring of timesheets, project expenses and time transfers.
- Support leadership team in driving and implementing changes in processes where needed.
- Provide support on financial and group management system and ensure all actions are updated and completed.
- Assist with formatting and compiling pdf of Group and project documents of small and medium size, in line with Arup standard templates and Corporate Style Guidelines.
What will I bring?
- At least 5 years of relevant industry experience in administration within a consulting/engineering built environment business
- Excellent understanding of processes, guidelines and job instructions, knowledge of nuances and ambiguities. Deepening/developing skills in an area that could be considered specialised (e.g. commercial, CRM, documents, travel, etc.) in alignment with individual career aspirations and Appraisal.
- Excellent knowledge of business systems, able to train and help others and encourage colleagues to make better use of the systems. Experience with troubleshooting and escalating system issues to relevant parties.
- Understands the talent interview process with the ability to seek support from Arups Talent Acquisition team where further guidance is required.
- Foundational awareness of health and safety (H&S) best practice. Able to identify HSE risks, breaches or specific needs and follow
