Job Description:
Management Assistant to support Senior Management across reporting, finance, payroll coordination, and operational administration. The role is responsible for preparing accurate fortnightly division/location reports, analysing performance data, and working with multiple departments including the Financial Controller, Payroll, Sales, and Operations.
Salary Range: 35,000-40,000
Work Set-Up: Work onsite | Mon-Fri | 6am - 3pm

Responsibilities:
- Prepare division & location performance reports for management to deliver, every fortnight. Ensure accuracy, consistency, and on-time delivery of all reports.
- Collate and analyse manning hours (charged vs invoiced), tyre repairs, rim repairs, consumables, labour, materials, and operational costs, complete Budget vs Actual summaries for each division/site. Identify variances, errors, or unusual trends and escalate them to managers.
- Financial & Payroll Coordination
Work with the Financial Controller on cost analysis and management reporting
Work with Payroll with timesheet validation, hours reconciliation, and labour allocation checks
Cross-check invoicing data against job hours and operational activity
Maintain clean, structured financial data for reporting and audit requirements - Operational Support
Gather repair activity, job completion data, and consumable usage from Operations
Maintain operational dashboards and performance tracking sheets
Support scheduling, communication, and coordination between locations - Sales & Administration Support
Coordinate with Sales to ensure revenue data aligns with operational activity
Produce ad-hoc reports, summaries, and management documents as required
Maintain organised digital records and reporting archives
Provide general administrative support to management
Requirements:
- Strong proficiency in Excel/Google Sheets
- Ability to analyse and interpret financial and operational data
- Excellent written and verbal communication skills
- High attention to detail and strong accuracy
- Ability to work effectively across multiple departments
- Background in reporting, finance, operations support, or business administration
- This position requires strong attention to detail, excellent communication skills, and the ability to work efficiently with both remote and on-site teams.
- Experience in service, field, industrial, or automotive environments is an advantage
- Familiarity with accounting/ERP systems (NetSuite, Pipedrive, etc.)
- Highly organised, reliable, proactive, self-motivated, and strong problem-solving skills.
- Able to work independently in a remote setting
- Timely delivery of fortnightly reports
