Job Summary:

The Accounts Associate will play a crucial role in maintaining accurate and efficient financial records, specifically focusing on project-wise purchases, grant management, and compliance with statutory regulations. This position requires a detail-oriented individual with a strong understanding of accounting principles and the ability to work independently and collaboratively within a team. The Accounts Associate will be responsible for ensuring the integrity of financial data, supporting financial reporting, and providing necessary information to trustees and other stakeholders.

Key Responsibilities:

1. Project-Wise Purchase Management:

  • Manage and track all project-related purchases, ensuring proper documentation and authorization.
  • Process purchase orders, invoices, and payment requests accurately and in a timely manner.
  • Maintain detailed records of project expenditures and reconcile them with project budgets.
  • Monitor and control project-related expenses to ensure adherence to budgetary constraints.
  • Liaise with vendors and suppliers regarding purchase orders, invoices, and payments.

2. Bookkeeping and Accounting Records:

  • Maintain accurate and up-to-date bookkeeping and accounting records.
  • Process and record financial transactions, including accounts payable, accounts receivable, and general ledger entries.
  • Reconcile bank statements and other financial records regularly.
  • Ensure all financial data is entered and maintained in accordance with established accounting standards and policies.
  • Generate and maintain financial reports and summaries as needed.

3. Compliance and Statutory Regulations:

  • Ensure compliance with all applicable statutory regulations, including tax laws, MCA policies, and NGO-specific accounting standards.
  • Stay updated on changes in accounting policies and regulations relevant to the organization.
  • Assist in the preparation and filing of statutory returns and reports.
  • Maintain accurate records of all compliance-related activities.

4. Grant Management:

  • Maintain detailed records of grants received and utilized.
  • Track grant expenditures and ensure they align with grant agreements and reporting requirements.
  • Prepare grant-related financial reports and documentation for submission to grantors.
  • Maintain a comprehensive grant register.

5. Purchase Registers:

  • Maintain accurate and up-to-date purchase registers.
  • Track and reconcile purchase orders, invoices, and payments.
  • Ensure all purchase transactions are properly documented and recorded.

6. Trustee Communication and Policy Implementation:

  • Brief trustees on MCA policies and new accounting policies specific to NGOs.
  • Maintain records in accordance with these policies and ensure consistent application.
  • Prepare and present financial information to trustees as required.
  • Respond to trustee inquiries regarding financial matters.

7. Financial Reporting and Documentation:

  • Assist in the preparation and review of financial reports, including balance sheets, income statements, and cash flow statements.
  • Prepare supporting documentation for financial reports and audits.
  • Maintain organized and accessible financial records.

8. Interdepartmental Coordination:

  • Coordinate effectively with other departments to resolve discrepancies and ensure accurate financial records.
  • Provide financial information and support to other departments as needed.
  • Collaborate with team members to streamline financial processes and improve efficiency.

Qualifications and Skills:

  • Bachelor's degree in Accounting, Finance, or a related field.
