Overview
As a Program Manager for a Project Management Unit (PMU) at Dhwani Rural Information Systems, you will lead the seamless management of our client's projects, specifically their pan-India Disaster Relief program. Serving as the pivotal link between the client and our internal teams, you will lead the execution and contribute to strategy to achieve program goals. Your role spans understanding the client’s vision and goals, the program’s nuances, managing internal and external stakeholders, innovating and scaling program design and operations, and steering software solution discussions if required and. You will be reporting to the Engagement Manager of the PMU and work with a team of 5+ peers. Key Responsibilities
Disaster Relief and Response Planning and Implementation
- Packaging Design and Development: Work with teams to create safe, efficient, and suitable packaging for relief materials, ensuring they reach affected communities in optimal condition.
- Activating Disaster Response: Initiating and managing all disaster response activities. This includes overseeing all requests, coordinating efforts, and ensuring timely action.
- Updating Technology Systems: Ensure all disaster response details and activations are accurately recorded and updated in the organization’s technology systems for proper tracking and reporting.
- Coordinating Logistics: Collaborate with the ATS (logistics) team to ensure prepositioned relief items are delivered promptly to areas impacted by disasters.
- Managing Documentation: Ensure all relevant documents related to disaster operations are organized and updated for easy reference and compliance purposes.
- Monitoring Disasters: Regularly track and monitor disaster situations across the country, staying informed to prepare timely responses.
- Conducting Field Visits: Plan and carry out minimum two visits per year to Level 2 disaster affected areas to observe operations, gather firsthand insights and identify opportunities for improvement.
- Gathering Feedback: Collect input from affected communities and NGO partners about the quality and relevance of relief items. Use this information to improve future disaster responses.
New Initiatives for Disaster Relief and Response
Setting Clear Goals: Define specific objectives, performance metrics (KPIs), and timelines for new disaster relief projects to ensure a focused approach.
Researching Best Practices: Study successful global disaster relief approaches and analyze regional disaster trends to tailor initiatives that meet local community needs.
Developing Governance Tools: Create and maintain critical governance documents, including risk registers, issue logs, and compliance checklists, to ensure operations run smoothly and risks are mitigated.
Reporting
Monitoring Progress: Regularly review the success of new initiatives by using predefined metrics. Identify opportunities to scale up effective solutions and address challenges.
Documenting Successes: Compile success stories, lessons learned, and impactful outcomes from disaster relief efforts to enhance future initiatives.
Preparing Disaster Bulletins: Prepare and submit detailed updates on each ongoing disaster within 24 hours of activating a response, using a standardized bulletin template.
Maintaining Beneficiary Data: Ensure all data related to beneficiaries is updated and refreshed in the Power BI system by the 15th of every month.
Vendor and Partnership Management
Conducting Due Diligence: Carefully evaluate all new vendor contracts to ensure compliance with organizational standards.
Training Vendors: Organize training sessions to help vendors understand invoicing formats, submission protocols and deadlines.
Providing Vendor Support: Act as a point of contact for vendors, addressing invoicing-related queries and ensuring they follow agreed schedules and processes.
Managing Invoices: Track and process vendor invoices promptly, verifying their accuracy and ensuring they align with the terms of contracts.
Ensuring Fund Transparency: Perform regular reviews to verify how funds are utilized by vendors and partners, ensuring accountability and preventing misuse.
Auditing Finances: Conduct financial audits to confirm expenditures are within approved budgets and align with the project goals.
Key Qualifications
Education and Certification:
A bachelor's degree in any field is required; a master's degree or advanced certification in Business Administration, Public Policy, Management, or Development is preferred.
Preference will be given to candidates with an MBA, PGDM in Rural Management or Public Policy from reputed institutions such as IRMA, APU, IIFM, XIMB, TISS, IIHMR, or similar programs.
Candidates with experience from leadership development programs or social impact fellowships (e.g., YIF, India Fellow, LAMP Fellow) are encouraged to apply.
Candidates with equivalent qualifications or experience from other reputable institutions and programs are also welcome.
Experience:
- 3-4 years of experience in operations, logistics management and/or program management, overseeing complex initiatives from initiation to completion.
Exposure to supply chain operations or a similar field
Travel Requirements:
This role may require frequent travel to disaster-affected regions, with at least two field visits annually to Level 2 disaster areas. Candidates must be willing to work in challenging and unpredictable environments.
