About the role:
As the Strategic Executive Assistant (SEA), you will serve as the CEO's right hand, functioning as a strategic partner to maximize leadership focus, effectiveness, and sustainability. This role moves far beyond traditional administrative management—it acts as a strategic extension of the CEO Office to manage priorities, institutionalize processes, streamline internal/external coordination, and help build systems that reduce founder-led dependency.
This high-trust role balances strategic alignment, organizational continuity, and personal caregiving boundaries for executive leadership.
Key responsibilities:
1. Strategic Priority & Focus Management
- Serve as a thought partner to translate strategic goals into clear operational milestones and decision frameworks.
- Proactively identify and resolve distractions, overload, or misalignments that dilute strategic focus.
- Prepare materials and briefs for high-stakes meetings, reviews, and leadership discussions.
2. Calendar, Commitment & Energy Management
- Manage the CEO’s schedule strategically to align time allocation with core organizational priorities.
- Say no, defer, or renegotiate requests on behalf of the CEO with clarity, professionalism, and diplomacy.
- Safeguard recovery time, focus blocks, and caregiving boundaries within executive routines.
3. Front-Facing Coordination & Gatekeeping
- Act as the primary bridge between the CEO and internal teams, board members, donors, and external partners.
- Filter communication, synthesize incoming information, and ensure only high-priority matters require CEO escalation.
- Track action items and decisions across teams to remove operational bottlenecks.
4. Systems Design & Institutionalization
- Strengthen documentation, SOPs, and delegation workflows to reduce dependency on the founder/CEO.
- Identify recurring decision areas and build playbooks and leadership routines that run independently.
5. Board Governance & Fundraising Support
- Coordinate board meetings, agendas, decision briefs, and action item tracking.
- Collaborate with fundraising teams to track donor pipelines, reporting cycles, grant commitments, and proposal materials.
6. Project Management & Personal Effectiveness
- Anchor cross-functional strategic projects led by the CEO Office from planning through execution.
- Manage travel, logistics, and scheduling needs that directly impact leadership effectiveness while maintaining strict confidentiality and discretion.
Required Qualifications & Experience:
- Experience: 3+ years of experience working closely with a Founder, Executive Director, or Senior Leadership team on strategic and operational systems.
- Values Alignment: Strong lens toward social justice, equity, inclusion, and anti-caste/feminist frameworks.
- Technical Fluency: Expert proficiency in Google Workspace, Slack, and modern project management software.
- Execution & Detail: Exceptional follow-through, organizational skills, and high attention to detail.
- Communication: Ability to communicate directly, empathetically, and persuasively with internal and external stakeholders.
- Problem-Solving: Calm under pressure; skilled at creating order out of complexity and anticipating risks early.
Work Details & Commitment:
- Hours: 40 hours per week (Full-time engagement).
- Trial Period: First 2 months serve as a job-trial period to evaluate priority management and working alignment.
- Location Flexibility: Fully remote across India, with required travel alongside the CEO Office when needed.
