About the role :
We are looking for a highly organized, detail-oriented, and process-driven professional with experience in finance, documentation, and administrative operations. The ideal candidate should have strong verification skills and the ability to ensure compliance with organizational policies and donor requirements.

Roles and Responsibilities As the Finance & Administration Associate, you will be responsible for executing and strengthening internal finance and administrative functions. You will ensure sound financial management, statutory compliance, efficient administrative operations, and effective support to program implementation. You will work closely with internal teams, donors, vendors, auditors, and regulatory authorities to maintain financial integrity and operational excellence.

  • Financial Management: Review department expenditures and record transactions in Tally ERP. Verify and approve transactions against budgets/policies. Process reimbursements, vendor payments, and staff advances. Monitor and reconcile advances and balances monthly. Ensure timely expense booking (especially during grant close-outs) and maintain detailed financial records per donor guidelines.
  • Banking & Investment Management: Prepare monthly bank reconciliation statements. Coordinate day-to-day banking requirements and maintain grant-wise investment records (FDs, accrued interest).
  • Statutory & Compliance: Ensure timely payment of statutory dues (GST, TDS, PF, Professional Tax) and assist in preparing statutory documents.
  • Procurement & Contract Management: Oversee procurement compliance, verifying quotations, comparative statements, POs, invoices, and approvals. Maintain vendor, consultant, donor, and partner agreements, tracking renewals and compliance.
  • Fixed Asset Management: Maintain the Fixed Asset Register, conduct periodic physical verifications, and document acquisitions, transfers, disposals, and depreciation.
  • Scholarship Disbursement Support: Verify beneficiary bank details and documents prior to disbursement, coordinate timely fund releases, and maintain beneficiary-wise payment/reconciliation records.
  • Office Administration & Coordination: Maintain filing systems, oversee daily facilities/travel/insurance operations, coordinate with vendors, strengthen internal controls, and align with cross-functional teams and auditors.

Qualifications & Experience

  • Work Experience: Minimum 5–6 years in Finance, Accounts, and Administration. 2–3 years of experience in an NGO/non-profit environment is preferred.
  • Education: B.Com, M.Com, or MBA (additional qualifications are an added advantage).
  • Key Skills: Strong knowledge of FCRA and Income Tax rules; proficiency in Tally and MS Office/PPT; excellent analytical, detail-oriented, multi-tasking, and problem-solving abilities.
  • Communication & Work Style: Fluent in written and spoken English and Hindi; strong interpersonal skills; flexible, organized, and adaptable to stringently timed, multicultural environments.
  • Travel: Willingness to travel to field locations as needed.
