Key Responsibilities:
1. Finance & Compliance:
- Ensure compliance with the financial and administrative policies and procedures of the organisation.
- Maintain donor-wise accounting, track grant conditions, utilisation limits, and timelines, and support donor financial reporting and grant closures.
- Provide support in the preparation of monthly, quarterly, and annual reports for auditing and donor reporting.
- Ensure payments are processed per the standard process, and complete documentation is maintained.
- Plan, track, and report on budget utilisation to the Head of Admin & Finance and Head of Programme Operations against monthly and quarterly milestones.
- Guide and coordinate the programme team in maintaining financial documents per policies and applicable laws.
- Ensure adherence to all statutory compliances like TDS, GST, PF, Gratuity, etc.
- Provide support in the completion of internal and external audits, including document preparation.
- Support the use and improvement of accounting/ERP systems, donor coding, MIS reporting, and digital record management.
- Process payroll in coordination with the HR function, ensuring statutory deductions and timelines are met.
- Review procurement proposals for financial compliance, validate vendor documentation, and monitor advances, settlements, and ageing.
- Provide financial guidance to programme and field teams, conduct reviews, and build capacity on documentation.
2. Efficient and Effective Administration:
- Ensure all procurements comply with organisational policy.
- Support consultants for programme implementation as per the agreed terms of reference.
- Manage the selection and coordination of vendors for high-quality, cost-effective services (travel, office equipment, stationery, lodging, etc.).
- Ensure proper safety and security measures are followed for employees during work hours and travel.
- Coordinate with vendors and statutory authorities related to finance, administration, and IT as required.
Essential Qualifications & Experiences:

Education & Experience: Bachelor's degree in Accounting/Finance and a minimum of three years of experience in an accounting and administrative position in an NGO.

Technical Knowledge: Strong working knowledge of accounting principles, financial procedures, statutory compliances, and donor-funded project requirements.

Tools: Proficiency in Accounting/reporting tools, ERPs, and Microsoft Office (Excel, Word).

Core Skills: High attention to detail, exceptional project management, data analysis, and strong independent prioritisation/time management abilities.

Communication: Effective communication skills in English, alongside strong interpersonal and collaborative abilities.
