Erin McGuirl is the Executive Director of the Bibliographical Society of America (BSA). The BSA fosters research on material texts and broadens access to the bibliographical community. Erin is passionate about leadership, team building, and driving forward the mission of the organization to expand scholarly engagement.

We are looking for a Virtual Assistant who is detail-oriented, proactive, and highly organized. The ideal candidate will align with Erin’s core values as Executive Director of the BSA: Nurture Intellectual Connections, Celebrate Growth and Achievement, Stand for Honesty and Integrity, and Embrace and Protect Curiosity and Empathy. In this role, it’s important to keep the Executive Director on track with tasks and deadlines, while also providing excellent administrative support.

Some of your responsibilities will include:

  • Schedule social media posts and keep the Executive Director on track with content creation
  • Provide reports on Metricool and Google Analytics for social media, YouTube, and websites
  • Support admin tasks for committees and the board (meetings, Google Drive)
  • Manage the Executive Directors email, handle routine messages, and flag urgent ones
  • Monitor and track task progress in ToDoist to ensure deadlines are met
  • Manage membership administration, ensuring benefits are delivered and records are accurate
  • Update website content and manage the monthly MailChimp newsletter
  • Capture and organize tasks to ensure smooth operations and workflow
  • Assist in managing and prioritizing tasks for the Executive Director, ensuring focus on key objectives

In addition to the above, the ideal candidate must be/have:

  • Excellent writing skills, both verbal and written
  • Detail-oriented, especially in proofreading and copy editing
  • Proactive with strong time management and prioritization skills
  • Not afraid to ask questions and communicate openly
  • Friendly, easy-going, and with a sense of humor
  • Highly organized and able to manage tasks and schedules efficiently
  • Tech-savvy and quick to pick up new tools and software
  • Intellectually curious, smart and eager to learn new things
  • Accountable, taking responsibility for tasks and communicating progress
  • Good listener who follows instructions effectively
  • Open to sharing new ideas and bringing an innovative approach, while keeping things practical and efficient
  • Collaborative, able to set realistic deadlines and communicate delays

Experience with the following tools is a plus:

  • Google Workspace (Gmail, Google Calendar, Google Drive)
  • ToDoist
  • MailChimp
  • Social Media for a business (Facebook, Instagram)
  • Little Green Light (donor and membership management)

Position Details:

  • This is a remote W2 position
  • Benefits include 401k (3% match after 3 months), and a $60/month stipend for internet costs
  • The position will be 15-20 hours per week
  • Flexible hours between 9:00 am 5:00 pm ET, with flexibility in setting days and times, but within a consistent routine and schedule
  • Optional expense-paid travel to NYC in January to assist with our conference; if not, remote coverage is essential during this time
  • The pay rate is $22/hr. USD
  • We're looking for someone to become a long-term (3+ years) team member
