Qualifications:

    • Bachelor's degree in Business Administration, Office Administration, Management, Communications, or any related field.
    • At least 1 year of relevant experience as an Executive Assistant, Administrative Assistant, or in a similar executive support role.
    • Excellent verbal and written communication skills in English and Filipino.
    • Strong organizational, planning, and time management skills with the ability to prioritize multiple tasks and meet deadlines.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration platforms (e.g., Microsoft Teams, Zoom, Google Workspace).
    • Excellent interpersonal skills with the ability to communicate effectively with all levels of the organization and external stakeholders.
    • Strong attention to detail and accuracy in preparing reports, presentations, and correspondence.
    • Ability to work independently, exercise sound judgment, and solve problems proactively.
    • Capable of managing executive calendars, travel arrangements, meetings, and administrative priorities efficiently.
    • Demonstrated ability to perform under pressure in a fast-paced environment while maintaining a high level of accuracy.
    • Strong customer service orientation and professional business etiquette.
    • Flexible, resourceful, and adaptable to changing business needs and priorities.
    • Willing to work beyond regular office hours when business requirements demand.

 Job Description:

  • Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel
  • arrangements.
  • Screen phone calls, emails, and other correspondence, ensuring timely and appropriate responses.
  • Prepare, review, and organize reports, presentations, memoranda, meeting minutes, and other business
  • documents.
  • Coordinate meetings by preparing agendas, taking minutes, and monitoring follow-up actions.
  • Handle confidential and sensitive information with the highest level of integrity and discretion.
  • Organize domestic and international travel arrangements, including transportation, accommodation, and
  • itinerary preparation.
  • Coordinate communication between executives, department heads, employees, clients, suppliers, and
  • external stakeholders.
  • Monitor deadlines, commitments, and action items to ensure timely completion of executive priorities.
  • Assist in preparing budgets, expense reports, purchase requests, and reimbursement documentation.
  • Support the planning and coordination of company events, executive meetings, conferences, and
  • corporate activities.
  • Conduct research, gather information, and prepare summaries or briefing materials as requested by
  • management.
  • Monitor office supplies and administrative resources required by the executive office.
  • Assist in the preparation and monitoring of departmental reports, performance dashboards, and
  • operational documentation.
  • Coordinate with Human Resources, Finance, Procurement, and other departments regarding executive
  • requirements.
  • Draft professional correspondence, announcements, and internal communications on behalf of the
  • executive.
  • Ensure compliance with company policies, procedures, and confidentiality standards.
  • Anticipate executive needs by proactively identifying issues and providing administrative solutions.
  • Handle special projects and assignments as directed by senior management.
  • Perform other administrative and executive support duties that may be assigned from time to time.
