PAYROLL AND BENEFITS SPECIALIST

The PAYROLL AND BENEFITS SPECIALIST will be responsible for the timely and accurate processing of multi-state payroll for current and new customers which includes all processing activities together with computing wages and overtime payments, calculating and recording payroll deductions and processing miscellaneous payments. Reviews wages computed and corrects errors to ensure payroll accuracy, prepares payroll reports and conducts special research. Responds and assists in payroll issues resolution.

Duties and Responsibilities:

  • Responsible for high volume processing both on-cycle and off-cycle multi-state payroll for customers including termination and separation checks.
  • Compile payroll data, enter data, compute and post wage, and reconcile errors to maintain payroll records.
  • Audit payroll information for accuracy
  • Calculate and process PAYE, NAPSA /Social Security withholdings, other deductions, insurance, benefits, K-MED / Funeral Grant contributions and other company match contributions.
  • Record changes affecting net wages, such as exemptions, insurance coverage, and loan payments for each employee.
  • Update, track and monitor the Advance / loan book on a monthly basis always ensuring that correct and accurate deductions are made and follows up on payment of due advances and loans
  • Prepares periodic reports of earnings, taxes and any other approved deductions within the regulated thresholds.
  • Resolves all payroll discrepancies by collecting and analyzing payroll data and information.
  • Provides payroll information by answering questions and requests and responding to clients queries and complaints.
  • Ensures that payroll-related transactions are processed in compliance with Client and KSM policies and procedures and in line with regulatory requirements.
  • Performs actions necessary to track and determine regular and overtime pay, and factors commission-based income or bonuses into an employee's salary and ensures that correct commission, bonuses and other incentives are correctly paid.
  • Reviews and process payroll adjustments, including vacation, sick, and other time off.
  • Maintains knowledge of rules and laws which govern the payroll administration practices / processing.
  • Implementation: Responsible for payroll implementation process, and client engagement through project planning, gather client, employee, tax, and historical earnings information and successfully loading them to meet agreed go-live dates
  • Strictly adhere to Deadlines / Closing dates / pay dates and any other such deadlines to ensure strict adherence with the payroll processing regulation and administration
  • Client service and communication: Provide exceptional customer service while interacting with clients throughout the implementation process to fully understand their needs, work collaboratively with the rest of the implementation team including time and benefits analysis to ensure timely and quality delivery of payroll to meet and exceed clients expectations
  • Process improvement: Establish a best practice approach to maximize efficiency in payroll processing and management
  • Project management: Work with / on multiple projects applying multi-tasking skills in a fast paced environment and manage workflow through the first payroll period to ensure all payroll transactions are processed accurately and timely.
  • Ensure that all Payroll change records and other important payroll information / documents are safely filed on personal files and / or box files for ease of reference.
  • Accuracy: Review and reconcile payrolls prior to transmission to client, validating confirmed reports. Verify accuracy of client, employee, banking and tax information including regulatory setup and historical reporting.
  • Use the payroll system in processing payroll to ensure at all times the Payroll System is consistently updated with latest payroll records / information / data to endure that the payrolls are up to date and are accurately closed off.
  • Gathers/ Collects Job Analysis / Salary Survey data from clients and assist the Salary Survey experts to complete Salary and benefits data
  • To ensure that the 1st Run and 2nd Payrolls are checked, verified and signed off by Approving officials before the final payroll is run.
  • To meet and exceed company targets
  • Reduce and minimize payroll errors, omissions and exceptions.
  • To source for new business and provide business development sales leads / sales for the payroll and reward services;
  • Attend to and deal with all reward matters being Engagement of Client on Reward matters, manage and maintain traceable records of payroll, and provide management with update reports
  • Provide overall oversight of the payroll department and supervision to ensure that all payroll processes are dealt with timeously and accurately;
  • To be a liaison on the development of Salary Survey reports from data collection and data analysis.
  • Performs any other duties / projects and responsibilities as maybe assigned at managements discretion from time to time

Education & Experience

  • Minimum year of experience as an accountant
  • Minimum diploma in Accounting / ACCA or ZICA
  • ZICA Licentiate, ACCA part 2 or CIMA Diploma in Management in Accounting
  • Member of a professional accounting body
  • Preferably previous experience in a similar role
  • Good understanding of Accounting principles
  • Ability to work in a fast paced environment

SALARY RANGE: K8,500- K10,000 Gross.
