About the job Admin Assistant ($3000 | Central)
Responsibilities
- Manage the Executive Director's (ED) calendar, including scheduling meetings and appointments.
- Coordinate meetings, which involves preparing agendas, taking minutes, following up on action items, and arranging catering as needed.
- Handle incoming and outgoing mail, distributing received mail within the department and dispatching outgoing mail to other hospital departments and external parties.
- Perform general document management tasks such as typing, sorting, filing, scanning, photocopying, and recording documents and forms. This also includes preparing routine correspondence, reports, and presentations.
- Coordinate special projects and initiatives as directed by the ED, liaising with other departments and external partners for implementation and follow-up.
- Collate and update relevant data for departmental cost management and improvement purposes.
- Manage purchase and work requisition processes, from obtaining supplier quotations to submitting invoices to Finance for payment, and processing expense reports for the ED's office.
- Prepare and submit claims and records for course claims, night allowances, leave, and petty cash for department staff.
- Handle confidential and sensitive information with discretion, ensuring confidentiality is maintained at all times.
- Collect and dispatch documents to and from various areas within the hospital premises.
- Requisition, control, and maintain optimal utilization of office supplies within the department.
- Provide general administrative support to other team members as required.
- Perform any other duties assigned by the supervisor.
Requirements:
- Diploma in any field
- 2 year of working experience in administrative function
- Experience in accounting, billings or invoices process will be an added advantage
