The IT Administrative Assistant supports the day-to-day operations of the IT Managed Services department. This role involves administrative coordination, time logs tracking, documentation management, and support ticket oversight to ensure smooth service delivery. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced IT environment.

Key Responsibilities:

  • Act as the first point of contact for administrative tasks and internal/external inquiries.
  • Schedule and coordinate internal and client meetings,
  • Assist on managing Time Tracking Tool, JIRA and Confluence and other tools utilized by Team.
  • Maintain and update client documentation, and internal knowledge base.
  • Generate regular reports as assigned by IT Ops Head
  • Assist with procurement and inventory tracking of hardware/software assets.
  • Assist with billing reconciliation for managed services clients.
  • Maintain confidentiality and data security in accordance with company policies.

Qualifications:

  • At least 6 months' experience in an administrative or coordination role, preferably in IT or a managed services environment.
  • Strong organizational and multitasking skills.
  • Proficiency with MS Office Suite, Project Mgt Tool (e.g., JIRA, Confluence), and basic IT knowledge. (IT terminology and service delivery processes)
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Bachelors degree preferred.
  • Open to fresh graduates.
