About the Role

We are seeking a highly organized and proactive Patient Services Representative person who can work independently, taking patient calls and scheduling appointments, and helping the patients and prospective customers make decisions on which physician to see. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple tasks in a fast-paced environment.

Responsibilities

  • Patient Support & Triage: Serve as the first point of contact for prospective and existing patients. Provide guidance, address inquiries, and direct patients to the appropriate physicians based on their needs.
  • Calendar & Email Management: Schedule appointments efficiently, manage multiple calendars, and handle timely email correspondence with patients, physicians, and internal teams.
  • Travel Coordination: Arrange travel logistics for physicians or executives, including booking flights, and accommodations, and preparing detailed itineraries.
  • Communication & Liaison: Act as a reliable liaison between patients, medical staff, executives, and external partners, ensuring clear and professional communication.
  • Document & Report Preparation: Draft and format reports, presentations, meeting summaries, and other documents as needed.
  • Meeting Coordination: Organize appointments and meetings with physicians and ensure timely follow-ups and necessary documentation are in place.
  • Administrative Support: Maintain accurate records, manage databases, and handle expense reports and other administrative tasks as required.

Qualifications:

  • Bachelor's degree in any allied health field or related discipline.
  • Minimum of 3 years of experience in a similar role, such as Patient Services Representative, Prior Authorization Specialist, or a relevant customer service role within a healthcare setting.
  • Solid understanding of medical terminology; familiarity with terms specific to cosmetic surgery is a strong advantage.
  • Proficient in Office 365 and/or Google Workspace.
  • Hands-on experience using a Customer Relationship Management (CRM) system.
  • Proven ability to handle sensitive and confidential information with discretion and integrity.
  • Strong interpersonal, organizational, critical thinking, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Willingness to work US business hours (night shift PH time).
  • Must be amenable to work on-site.
