Qualifications:

  • Graduate of Business Administration, Office Management, or any relevant degree
  • At least 2 years of experience as a Virtual Assistant
  • Proficient in calendar management, travel coordination, and meeting facilitation.
  • Experience in document management and electronic signature platforms such as Adobe Acrobat, DocuSign, and Microsoft Office.
  • Knowledge of LinkedIn, Facebook, and Twitter/X for professional networking and social media engagement.
  • Familiarity with digital communication and scheduling tools, including RingCentral, Calendly, and Microsoft Bookings.
  • Skilled in using Canva and Affinity for creating visually appealing content and social media graphics.
  • Experience with CRM and marketing automation platforms such as GoHighLevel and Salesforce is a plus.
  • Comfortable using Bill.com for invoice management and expense tracking.
    Familiarity with WordPress for basic website content management.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment

  • Must be willing to work in a hybrid arrangement and in a night shift schedule

Responsibilities:

  • Manage and coordinate the executives calendar, schedule meetings, and prioritize appointments.
  • Draft, send, and track Non-Disclosure Agreements (NDAs) and contracts.
  • Coordinate all travel arrangements including flights, hotels, and dining reservations for business trips.
  • Monitor and record executive and company expenses for reimbursement and reporting.
  • Develop and maintain an organized SharePoint repository for all company records and documentation.
  • Facilitate onboarding of new team members, including access setup and orientation coordination.
  • Send calendar reminders with detailed agendas; document and distribute meeting notes and action items.
  • Act as a liaison between executives and internal teams to ensure seamless communication and follow-through.
  • Conduct LinkedIn prospecting and outreach to support lead generation.
  • Engage with followers and prospects on Facebook, Twitter, and other platforms to enhance brand presence.
  • Source and design basic graphics for social media and campaign content.
  • Schedule meetings with prospective clients generated from marketing campaigns.
  • Perform timely follow-ups with prospects to nurture leads.
  • Manage and organize client communication, including responding to emails and maintaining a clean inbox.
  • Publish and promote upcoming webinars, podcasts, and events across company channels.
  • Coordinate with vendors and venues for events, including merchandise, catering, and logistics.
  • Ensure all event needs are aligned with brand standards and executed on schedule.
