Qualifications:

  • Bachelor's Degree in Business Administration or any relevant course
  • Minimum of 4 years of relevant work experience as an Administrative Assistant or Virtual Assistant
  • Proficient in Office 365 (Outlook, Excel, Word, PowerPoint)
  • Must have basic bookkeeping experience
  • Knowledgeable in at least 3 required software: MailChimp, Practice Ignition, JotForm, ShareFile; JetPack; Time Doctor
  • Excellent written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Ability to work independently with minimal supervision
  • Amenable to working a night shift and hybrid work arrangement

Responsibilities:

  • Create and manage engaging social media content that aligns with brand messaging;
  • Schedule and publish posts, track analytics, and provide insights to optimize engagement;
  • Send monthly updates to clients and referral sources via MailChimp;
  • Assist in creating client proposals and templates using Practice Ignition;
  • Build templates, send bulk proposals, and update engagement letters using Practice Ignition;
  • Utilize JotForm templates/questionnaires for client communication;
  • Assist with developing intake processes for tax returns and project management in ShareFile;
  • Implement best practices for time tracking, template creation, and client profile updates in JetPack;
  • Maintain and update calendars, including reminders for client-specific dates (e.g., birthdays, anniversaries) in Outlook calendar;
  • Generate and distribute weekly time entry reports from Time Doctor
  • Manage basic bookkeeping for Boyd CPAs' internal books; and 
  • Perform other administrative tasks.
