Qualifications:
- Bachelor's Degree in Business Administration or any relevant course
- Minimum of 4 years of relevant work experience as an Administrative Assistant or Virtual Assistant
- Proficient in Office 365 (Outlook, Excel, Word, PowerPoint)
- Must have basic bookkeeping experience
- Knowledgeable in at least 3 required software: MailChimp, Practice Ignition, JotForm, ShareFile; JetPack; Time Doctor
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Strong organizational skills with the ability to multi-task
- Ability to work independently with minimal supervision
- Amenable to working a night shift and hybrid work arrangement
Responsibilities:
- Create and manage engaging social media content that aligns with brand messaging;
- Schedule and publish posts, track analytics, and provide insights to optimize engagement;
- Send monthly updates to clients and referral sources via MailChimp;
- Assist in creating client proposals and templates using Practice Ignition;
- Build templates, send bulk proposals, and update engagement letters using Practice Ignition;
- Utilize JotForm templates/questionnaires for client communication;
- Assist with developing intake processes for tax returns and project management in ShareFile;
- Implement best practices for time tracking, template creation, and client profile updates in JetPack;
- Maintain and update calendars, including reminders for client-specific dates (e.g., birthdays, anniversaries) in Outlook calendar;
- Generate and distribute weekly time entry reports from Time Doctor;
- Manage basic bookkeeping for Boyd CPAs' internal books; and
- Perform other administrative tasks.
