The business is growing quickly, and the founder is looking for someone who can take ownership of the operational and administrative work behind the scenes — allowing her to focus on sales, networking, client relationships, and growing the company.

This is an opportunity for someone who wants to grow with the business, take ownership, and eventually move into a more senior operations role.

About the Role

We're looking for a highly organized, detail-oriented, and trustworthy Operations Assistant to become an extension of the founder and help keep the business running smoothly.

Your primary responsibility will be managing the operational "back office" — making sure follow-ups happen, clients are taken care of, commissions are tracked, and important details don't fall through the cracks.

You don't need to know everything about the travel industry on day one. You'll be trained on the company's processes and travel-related systems. What matters most is that you're smart, motivated, detail-oriented, trustworthy, and eager to learn.

What You'll Do

Operations & Administration

  • Manage day-to-day administrative and operational tasks
  • Follow up on outstanding items, payments, commissions, and client requests
  • Track important deadlines, deliverables, and follow-ups
  • Keep operational workflows moving without constant supervision
  • Help organize and maintain internal systems and processes
  • Take initiative and identify tasks that need to be completed
  • Help create, document, and improve SOPs

Client Support

  • Respond to routine client emails and questions
  • Handle administrative requests from clients professionally and promptly
  • Follow up when information, payments, or documentation are needed
  • Help ensure a smooth and professional client experience
  • Handle sensitive client and financial information with complete discretion

Travel Operations

  • Assist with travel-related administrative tasks and bookings
  • Coordinate with hotels, suppliers, vendors, and travel partners
  • Learn the company's travel booking systems and processes
  • Assist with destination wedding and private travel logistics
  • Support corporate travel and retreats as the business expands

Growth & Systems

As you become more comfortable in the role, you'll have opportunities to:

  • Improve internal workflows and processes
  • Help automate repetitive tasks
  • Use AI tools to improve efficiency
  • Explore AI-powered automations and systems
  • Take ownership of operational projects
  • Grow into a more senior operations position

Bonus: Content & Marketing Support

Operations is the primary focus of this position.

However, there may be opportunities to assist with:

  • Writing in the founder's brand voice

Experience

Required:

  • Previous experience in administration, operations, executive assistance, customer support, coordination, or a similar role
  • Strong organizational and communication skills
  • Ability to manage multiple priorities
  • Strong attention to detail

Nice to Have:

  • Travel industry experience
  • Experience working with luxury or high-end clients
  • Experience with booking platforms or travel systems
  • Experience creating SOPs
  • Experience with AI tools or automation
  • Basic copywriting or social media experience

Travel industry experience is not required — the right candidate can be trained on the company's systems and processes.
