Position Title : Receptionist
Work Location : Gresik, East Java
Employment Type : 6-Months contract based with possibility extension

The key duties and responsibilities of this position :

  1. Greet all Office Guest and directing Guest traffic and activities at the Lobby area.
  2. Ensure all visitors have and show the appropriate ID card when entering office building
  3. Maintain the lobby area to remain clean and tidy at all times (sofa, coffee tables, mail room, floor, magazines and newspapers, etc).
  4. Answer all incoming calls and forward calls/messages
  5. Create and Maintain visitor book/ tracking system daily and send report to Supervisor
  6. Maintain Mailroom Activities at Admin Building & CCB (sort and distribute mails)
  7. Work closely with vendor to receive and send mails/ deliveries that comes to Office Building
  8. Create and Maintain tracking system for mailing activities daily and send report to Supervisor
  9. Manage bookings/ appointments for all VIP Visitor offices, Conference and Training Rooms at the Admin Building and Central Control Building.
  10. Send confirmation email for Conference and Training Rooms to employees who reserved the space.
  11. Publish daily bookings/appointments schedule for each Conference and Training Room.
  12. Work closely with housekeeping team to ensure all training rooms are clean and tidy for every meeting.
  13. Work closely with Office Boy/ GA team to ensure all conference and training rooms have the right equipment for the meeting.
  14. Collaborating with Security team if there will be executive visit.
  15. Assist with other GA and Employee Engagement tasks.

The background, education, and work experience needed to succeed in this job are :

Minimum Diploma Degree (D3) from all majors with minimum 2 years of working experience as Receptionist or Customer Services

Knowledge, Skills, & Abilities :

  1. Advanced in Microsoft Teams, Office, Word, Excel and PowerPoint.
  2. Fluent in English
