Position Title : Admin Licensing Data & Support

Work Location : Gresik, East Java

Employment Type : 6-month contract based with possibility extension


The purpose of this position:

  • Conduct the onboarding process and meet targets by following the required administrative procedures.
  • Facilitate the competency test process for both contractors and permanent employee.
  • Ensure all license data and documents required for each respective permanent/contractor employee are maintained and stored properly.
  • Communicate effectively with internal and external parties.


The key duties and responsibilities of this position:

  • Review and ensure the complete required documents for each competency test application for both contractors and permanent employee and the keeping management of documents.
  • Conduct the execution of Knowledge Test for both contractors and permanent employee.
  • Coordinate and provide support to instructors and assessors during the competency test process.
  • Enter license data into the SAP system, maintain contractor database in accordance with Competency Test and generate reports for analysis to provide insights on L&D performance.
  • Organize both softcopy and hardcopy license documents and the keeping management of license documents.
  • Coordinate with Training Vendor for training execution or 3rd party to ensure all competency test process run smoothly.
  • Support L&D activities as needed.


The key challenges in this position:

  • This role should have high adaptability, proactive and have sense of urgent and focus in detail
  • Maintain accurate and up-to-date data and records within the L&D teams can be challenging.
  • Facilitate effective communication within internal and external parties can be complex, given the diverse range of stakeholder involved.


The background, education, and work experience needed to succeed in this job are:

  • Associate/ Bachelor degree in all major, with 2 years experience in administration and handling documentation process.
  • Preferably candidates with good interaction with external parties and good group communication
  • English fair level for both writing and speaking.
  • Computer Literate (MS-Excel intermediate and familiar with SAP will be an advantage.)
