Position Title : ESD Admin Assistant

Work Location : Gresik, East Java

Employment Type : 12-month contract based with possibility extension

The purpose of this position:

Provides complex and diversified administrative support for PTFI Sustainable Department, which covers workflows associated with social responsibility, environmental, human rights, and responsible production.

Key duties and responsibilities of this position

  1. Supports the administrative needs of the environmental permitting process.
  2. Prepares agendas, transcribes, and distributes minutes of meetings.
  3. Prepares administrative documents associated with government reports and procedures.
  4. Prepares and types memoranda, letters and reports. Creates computer forms, templates and tables. Compiles statistical data.
  5. Develops and maintains records management system for hardcopy and digital documents and forms, such as regulatory communication, documentation, data collection, inspection results, etc.
  6. Receives office visitors and/or telephone callers. Answers routine inquiries.
  7. Schedules, plans, and coordinates stakeholder meetings virtual and/or in-person.
  8. Adheres to the Company compliance requirements, including the GSR approval process for engagement with government stakeholders. Manages the submission, documentation, and reporting associated with these engagements.
  9. Coordinates or prepares a wide variety of complex reports including monthly reports for the department.
  10. Assists with planning travel itineraries and coordinates and assists with arranging travel plans for groups of internal and external professionals.
  11. Supports the department in filing required data for government reporting.
  12. Provide logistic support for site visitors, including auditors and inspectors.
  13. Coordinates on CSR Programs and processes, including community events, employee engagement efforts, etc
  14. Completes the administrative tasks associated with social investments, donations, and sponsorships.
  15. Interact with stakeholders around various logistics and scheduling, complies with company standards and expectations.
  16. May attend meetings with or as a representative of their supervisor.
  17. Perform other duties as required.

Background Education

  1. Minimum Bachelor Degree (S1/D4) in all major or associate degree (D3) with around 2 years working experience in General administrative role or high school degree with around 4 years working experience in administrative role.
  2. Willing to work on shift roster and weekends, as required by business needs.
