Position Title : ESD Admin Assistant
Work Location : Gresik, East Java
Employment Type : 12-month contract based with possibility extension
The purpose of this position:
Provides complex and diversified administrative support for PTFI Sustainable Department, which covers workflows associated with social responsibility, environmental, human rights, and responsible production.
Key duties and responsibilities of this position
- Supports the administrative needs of the environmental permitting process.
- Prepares agendas, transcribes, and distributes minutes of meetings.
- Prepares administrative documents associated with government reports and procedures.
- Prepares and types memoranda, letters and reports. Creates computer forms, templates and tables. Compiles statistical data.
- Develops and maintains records management system for hardcopy and digital documents and forms, such as regulatory communication, documentation, data collection, inspection results, etc.
- Receives office visitors and/or telephone callers. Answers routine inquiries.
- Schedules, plans, and coordinates stakeholder meetings virtual and/or in-person.
- Adheres to the Company compliance requirements, including the GSR approval process for engagement with government stakeholders. Manages the submission, documentation, and reporting associated with these engagements.
- Coordinates or prepares a wide variety of complex reports including monthly reports for the department.
- Assists with planning travel itineraries and coordinates and assists with arranging travel plans for groups of internal and external professionals.
- Supports the department in filing required data for government reporting.
- Provide logistic support for site visitors, including auditors and inspectors.
- Coordinates on CSR Programs and processes, including community events, employee engagement efforts, etc
- Completes the administrative tasks associated with social investments, donations, and sponsorships.
- Interact with stakeholders around various logistics and scheduling, complies with company standards and expectations.
- May attend meetings with or as a representative of their supervisor.
- Perform other duties as required.

Background Education
- Minimum Bachelor Degree (S1/D4) in all major or associate degree (D3) with around 2 years working experience in General administrative role or high school degree with around 4 years working experience in administrative role.
- Willing to work on shift roster and weekends, as required by business needs.

- Ability to managing data using proper applications (Microsoft Excel and related)

- Document Control Verifying all documents related with the department are filed and managed.
- Service Providing adequate service level to all stakeholders.
