  1. Distribute and receive annual budget template and quarterly forecast template to/from project coordinator and budget owner in coordination with them to provide annual budget report and quarterly forecast report.
  2. Ensure control of millions of dollars in capital spending.
  3. Ensure that executive management is informed and aware of past and future events so they can effectively manage the company's resources for maximum benefit to shareholders.

The key duties and responsibilities of this position are:

  1. Monitor, control, and develop budget process on implementation, presentation, evaluation and approval to ensure that approved budget run as per budget guideline.
  1. Review, analyze, and sign the approval of AFE package from all PTFI department to ensure that compliance of AFE procedure including AFE text, administration and economic review and continuously socialize it to the operation's group.
  1. Prepare, check, develop, and distribute the quarterly capital forecast to department heads and project coordinators to provide the accurate and timely reports as basis of cash call as well as supporting the accuracy of capital flash and management capital report.
  1. Update budget for approved AFEs / Supplemental AFEs in SAP and inform Capital Accounting Superintendent about the update
  2. Review of any WBS Request regarding budget availability, scope of work, and forecast update related to the requested WBS and act as the first approver after being submitted, if needed
  3. Review monthly spending for all AFEs, compare it to the forecast, and communicate to users about the variance
  4. Perform intensive monthly monitoring for CAPEX Forecast in OneStream
  5. Communicate users re-update forecast for CAPEX in OneStream after Actuals come up on monthly basis
  6. Follow up with users to update forecast for any new CAPEX AFE and upload quarterly forecast update to SAP.
  7. Update Active AFE List for the ones which are mentioned in the latest quarterly forecast update
  8. Develop and update survey list & schedule to be reviewed & approved by the Supervisor & Manager and Survey projects based on the updated list. Special attention for replacement / renovation AFEs
  9. Create and send Project Survey Report to Supervisor for any project being surveyed
  10. Coordinate with Fixed Asset Team regarding old assets which will be replaced / renovated
  11. Update Biweekly GAFE Status Report weekly for Supervisors review and distribute final Biweekly GAFE Status Report to all users, once reviewed
  12. Monitor outstanding AFE Requests online intensively and send reminder to remaining approvers, if requested by the Supervisor
  13. Analyze the AFE scope and WBS used for requests from users for budget confirmation, requested by Supervisor, if needed
  14. Create Minutes of Meeting (MoM) for all forecast meetings for the Supervisors review before distributing the MoM to meeting participants
  15. Discuss quarterly forecast updates and perform Critical Control Checklist, as required

The background, education, and work experience needed to succeed in this job are:

  • S1 Accounting Degree
  • 3-year work experience in Registered Public Accountant or Multinational Mining Company
  • Experience in Capital/Fixed Accounting and AFE (Authorization for Expenditures) process
  • High proficiency of English skill (expatriate standard communication, preferable has ever lived in US)
  • System information: SAP, OneStream, Business Object, Microsoft Office, etc.
