Job Descriptions:

  • Welcoming visitors and/or training groups, re-direct visitors to the relevant office/personnel; required to sit at reception.
  • Register visitors to assess turnstile and lift access.
  • Have ownership of office management systems and procedures including, incoming and outgoing mail and inbound call-handling.
  • Assist Management and Managers to coordinate and book venue for meetings and appointments for client and business meetings.
  • Maintain and upkeep of assets records and ensure updated periodically including stock maintenance of assets.
  • Track and replace office supplies including pantry as and when necessary to avoid interruptions.
  • Handle office maintenance and activities such as ordering F&B for birthday celebration and special meetings, vendor maintenance of plants etc.
  • Support to liaise with contractors, vendors and suppliers for any issues relating to office matters e.g. maintenance and service of office equipment, cleaning services, maintenance of office facility etc.
  • Assist and support Office Management Executive to coordinate on travel arrangements (air ticket booking/ visa application/ accommodation reservation/ arranging schedule).
  • Support Marketing Dept on festive decoration and event decoration.
  • Any other ad-hoc duties as assigned by Office Manager/HR Director.

Job Requirements:

  • Diploma or Degree in administration, business or relevant field is preferred.
  • Minimum 3 - 4 years of working experience as receptionist, office admin or similar positions
  • Experience with reception and administrative tasks.
  • Experience of Microsoft Office and other office management tools and applications.
  • Good organizational and time management skills.
  • Be detail-oriented and able to handle multiple tasks effectively.
  • Able to prioritize and carry out routine responsibilities with minimum supervision.
  • Good command of written and verbal communication skills.
