Job Overview
We are seeking a highly motivated and detail-oriented PMO & Admin Support Manager to oversee the Project Management Office (PMO) for Whole-of-Government (WOG) infrastructure contracts. This role will be responsible for contract management, personnel administration, ICT service provisioning, and quality management. Additionally, the candidate will lead an Admin Support team managing contractor account processing, billing reports, and support functions for the Engagement Office team. The ideal candidate should have strong project management, stakeholder engagement, and leadership skills to drive service improvements and compliance with audit requirements.
Key Responsibilities
Project Management Office (PMO) Operations:
- Oversee the PMO functions for WOG infrastructure contracts, ensuring effective contract management, personnel administration, and account & access management.
- Manage provisioning of GSIB machines and related WOG ICT services, ensuring smooth delivery and operational efficiency.
- Maintain quality management standards and provide secretariat support for PMO-related activities.
Administrative & Financial Management:
- Lead the Admin Support team responsible for contractor account processing and billing reports across WOG ICT services.
- Ensure accuracy, compliance, and timely reporting of contractor-related financial transactions.
Stakeholder & Engagement Support:
- Provide operational and administrative support to the Engagement Office team for interactions with government agencies and stakeholders.
- Facilitate smooth communication and coordination between various teams to enhance service delivery.
Process Improvement & IT Administrative Consolidation:
- Identify areas for service improvement and IT administrative task consolidation to enhance operational efficiency.
- Develop and implement plans for optimization, ensuring better support for the Division/Group.
Audit & Compliance Management:
- Support internal and external audit exercises by coordinating with Client and contractor teams during fieldwork.
- Prepare management responses to audit findings and ensure closure of follow-up actions.
- Ensure compliance with regulatory, contractual, and governance frameworks.
Requirements & Qualifications
- Bachelors degree in Business Administration, Information Technology, or a related field.
- 5+ years of experience in PMO, contract management, IT administration, or project support roles.
- Strong understanding of WOG ICT services, account management, and IT procurement processes.
- Experience in financial reporting, contractor billing, and stakeholder engagement.
- Proficiency in project management tools, data analysis, and reporting.
- Strong leadership and team management skills to lead a cross-functional team.
- Ability to work in a fast-paced environment and manage multiple priorities.
- Experience in audit preparation and compliance management is an advantage.
