Executive Secretary
Job Description:
Our client is a prominent Real Estate company based in KSA. They have built a strong reputation for delivering superior solutions and services that satisfy the various needs of their clients in a diverse range of industries. As they continue to grow and innovate, they are currently seeking an experienced Executive Secretary to join their team responsible for providing clerical and administrative support to senior staff.
Responsibilities:
- Agenda Management: Maintain the executive's calendar and schedule. Assist in planning and organizing appointments, board meetings, conferences, and other important events.
- Travel Coordination: Prepare travel itineraries and schedules for the CFO and Finance & Audit Committee members. Make travel arrangements, including booking flights, hotels, transportation, and reservations.
- Special Project Support: Collaborate closely with the CFO on special projects, providing administrative and organizational assistance.
- Meeting Support: Attend meetings and take accurate minutes to document discussions and decisions.
- Phone Management: Receive and screen phone calls, ensuring important calls reach the executive while redirecting others as appropriate.
- Correspondence Handling: Handle all incoming and outgoing correspondence, including emails, letters, and packages. Ensure the confidentiality and security of sensitive documents.
- Travel Arrangements: Make travel arrangements for executives, including booking flights, and hotels.
- Confidential Document Handling: Safeguard confidential documents and information to maintain their security and privacy.
- Financial Support: Prepare invoices, and financial statements, and assist with basic bookkeeping tasks as required.
- Record Management: Maintain both electronic and paper records, ensuring that information is well-organized and easily accessible.
- Research and Reporting: Conduct research on various topics and compile information to prepare presentations or reports as assigned.
Qualifications:
- Bachelor's degree in business administration or related field.
- 1 to 2 years of experience in senior-level administrative roles.
- Excellent English and Arabic language proficiency.
- Computer proficiency in word processing, spreadsheets, and business software.
- In-depth understanding of office management.
- Strong skills in organization and time management.
- High integrity and commitment to confidentiality.
- Ability to build positive working relationships and work well in teams.
- Strong communication and negotiation abilities.
