Related to our continuous growth, we are currently recruiting an Executive Assistant & Office Manager
The Executive Assistant & Office Manager will provide high-level administrative support to senior management and ensure the smooth operation of the office. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will be proactive, adaptable, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
Administrative Support:
-Manage calendars, schedule meetings, and coordinate appointments for senior management.
-Prepare and edit correspondence, communications, presentations, and other documents.
-Handle incoming calls, emails, and other communications, redirecting them as appropriate.
Office Management:
-Oversee daily office operations, including maintaining office supplies, equipment, and facilities.
-Coordinate and manage office events, meetings, and conferences.
-Ensure compliance with company policies and procedures.
-Financial Administration: Assist with budgeting, processing invoices, expense tracking, and financial reporting for all office expenses. Liaise with the finance department to ensure timely payments and reconciliations.
-Order supplies;
-Administer employee benefits (sport cards, health insurance, food vouchers);
-Assist with arranging travel documents, visas, insurances, etc.
-Handle communication with office landlord, company providing cleaning services, and other office-related external vendors;
Human Resources Support:
-Assist with onboarding new employees, including orientation and training logistics.
-Handle HR-related queries and documentation.
-Coordinate employee engagement activities and events.
Project Management:
-Support management in planning and executing special projects.
-Track project progress, prepare status reports, and ensure deadlines are met.
Qualifications:
Education:
Bachelor's degree in Business Administration, Management, or a related field preferred.
Experience:
-Minimum of 3-5 years of experience in administrative or office management roles.
-Experience supporting senior executives is highly desirable.
Skills:
-Exceptional organizational and multitasking abilities.
-Strong written and verbal communication skills.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
-Familiarity with office management software and tools.
-Ability to work independently and handle confidential information with discretion.
