Are you a proactive and detail-oriented professional with experience in facilities management? We are looking for a Facilities Coordinator to join our clients team on a 12-month contract to help ensure our workplace operates smoothly, safely, and efficiently. This role involves working closely with the Facilities Manager to coordinate facilities improvement projects, manage vendor relationships, and oversee physical security needs across Canada.
Key Responsibilities:
Facilities Management:
- Monitor critical equipment and environments, including UPS systems, server room cooling units, pharmacy refrigeration, and power failures.
- Respond to emergency situations such as server room A/C failures, UPS failures, fridge failures, and power outages, including traveling to sites and coordinating vendor support as needed.
- Assist the U.S. Security Team with issue resolution and service calls.
- Schedule and coordinate vendor appointments.
- Escort vendors and ensure services are delivered per contract agreements.
- Perform furniture assembly and minor repairs as required.
- Order supplies and manage inventory.
- Process vendor payments via PO creation.
- Review and complete service requests through Cherwell ticketing system.
- Participate as an active member of the Joint Health and Safety Committee (JHSC) and coordinate fire safety initiatives.
Qualifications:
- 3+ years of experience in a facilities-related role.
- College diploma in a related field; Certificate in Facility and Property Management preferred.
- Experience managing lease and contract negotiations.
- Strong knowledge of the Canadian Occupational Health and Safety Act as it relates to workplace safety.
- Project management experience is an asset.
- Hands-on experience using tools, including power tools, for building and office maintenance tasks.
- Customer-focused mindset with strong technical support skills.
- Experience with purchase order and invoicing processing.
- Excellent planning, organizing, problem-solving, and time management skills.
- Ability to work independently and collaboratively in a team setting.
- Strong attention to detail and critical thinking skills for decision-making.
- Must have access to a personal vehicle for travel between locations.
- Flexibility to support emergency response and occasional evening or weekend projects as needed.
