Job Responsibilities
1. Calendar and Travel Management
- Manage the executive's schedule, including meetings, seminars, and various internal and external corporate events.
- Plan and coordinate domestic and international travel arrangements, including flight bookings, accommodation reservations, and preparation of required travel documents.
2. Communication and Coordination
- Serve as the primary point of contact between the executive, employees, clients, and external stakeholders.
- Manage emails, phone calls, and correspondence, including drafting and editing various documents.
- Coordinate with different departments across the organization to ensure smooth business operations.
3. Document and Information Management
- Maintain and organize important documents in both electronic and hard-copy formats.
- Prepare meeting materials, reports, presentations, and related documentation.
- Gather information and conduct preliminary analysis to support executive decision-making.
4. Executive Support and Decision-Making Assistance
- Attend meetings and take meeting minutes.
- Monitor and follow up on action items and resolutions from meetings.
- Assist executives in planning and executing special projects and initiatives.
5. Office Administration
- Ensure the executive office is well organized and operates efficiently.
- Manage office equipment and coordinate procurement of office supplies.
- Liaise with external service providers, such as cleaning companies and maintenance contractors.
6. Professional Development and Career Growth
- Continuously expand knowledge of the company's business operations and relevant industries.
- Participate in training programs and seminars to enhance leadership, management, and communication skills.
- Learn from executives and experienced colleagues.
- Seek opportunities to take on challenging projects to broaden experience and professional capabilities.
- Proactively identify and implement initiatives to increase sales, reduce costs, improve operational efficiency, and enhance company profitability.
