Job Responsibilities

1. Calendar and Travel Management

  • Manage the executive's schedule, including meetings, seminars, and various internal and external corporate events.
  • Plan and coordinate domestic and international travel arrangements, including flight bookings, accommodation reservations, and preparation of required travel documents.

2. Communication and Coordination

  • Serve as the primary point of contact between the executive, employees, clients, and external stakeholders.
  • Manage emails, phone calls, and correspondence, including drafting and editing various documents.
  • Coordinate with different departments across the organization to ensure smooth business operations.

3. Document and Information Management

  • Maintain and organize important documents in both electronic and hard-copy formats.
  • Prepare meeting materials, reports, presentations, and related documentation.
  • Gather information and conduct preliminary analysis to support executive decision-making.

4. Executive Support and Decision-Making Assistance

  • Attend meetings and take meeting minutes.
  • Monitor and follow up on action items and resolutions from meetings.
  • Assist executives in planning and executing special projects and initiatives.

5. Office Administration

  • Ensure the executive office is well organized and operates efficiently.
  • Manage office equipment and coordinate procurement of office supplies.
  • Liaise with external service providers, such as cleaning companies and maintenance contractors.

6. Professional Development and Career Growth

  • Continuously expand knowledge of the company's business operations and relevant industries.
  • Participate in training programs and seminars to enhance leadership, management, and communication skills.
  • Learn from executives and experienced colleagues.
