About the job Sales Administrator

  • Collate and input detailed sales orders & purchase orders, sales invoices, manufacturing packing lists and all purchase invoices and expenses in different currencies (one of the most time-consuming duties)
  • Prepare shipping documentation for manufactured goods on a timely basis (essential role especially in terms of client invoicing)
  • Digitally file all documents coming through email in systematic folders and be responsible for archiving printed paper documents
  • Direct communicate and provide information about shipments, documentations and any concerns to support customer requirement.
  • Liaise with the different divisions including finance, sales and production but also liaising with client and supplier accounts departments to create relationships for working cooperatively
  • When necessary update sales and supplier item information and keep a record of discrepancies as they arise
  • Reporting of order & shipment movement & ageing including of TSP update to client is required
  •  Be able to problem-solve and suggest more efficient solutions to ordering and invoice processes
  • Any other Ad- Hoc requests by Supervisor

Qualification:

  • Bachelors degree in Business Administration, Marketing, or a related field.
  • 1-3 years of experience in Sale coordination, Sales Support, or administrative roles.
  • Experience in export documentation and regulations, Incoterms and International trade documentation.
  • Good command of written and spoken English.
  • Proficient in Microsoft office (Excel, Word, Outlook) experience with CRM systems is a plus.
  • Details-oriented, responsible and able to work under pressure.
  • Strong organizational and multitasking skills.
  • Service-minded and team player with ability to coordinate with multiple department (Sales, logistics, accounting, etc.).
