Job Summary

We are looking for a detail-oriented, proactive, and fast-working Executive Assistant to support our leadership team. The ideal candidate will excel in managing complex schedules, leveraging Microsoft Office tools, and applying AI technologies to streamline workflows. This role requires fluency in all Microsoft Office programs, a strong work ethic, and the ability to thrive in a high-pressure environment with no skipped weekends.

Key Responsibilities

  • Calendar Management
Efficiently manage a heavy and dynamic calendar with exact timing, ensuring flawless scheduling of meetings, calls, and appointments across multiple time zones.
  • Administrative Support
Prepare, edit, and format documents, presentations, and spreadsheets using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a high level of proficiency.
  • AI Integration
Utilize AI tools to optimize workflows, automate repetitive tasks, and enhance productivity (e.g., scheduling, data analysis, or research).
  • Communication
Act as a liaison between the leadership team and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
  • Project Coordination
Assist in organizing and tracking tasks related to family office setup and private equity fund management, ensuring deadlines are met with precision.
  • Data Management

Maintain organized records, files, and databases with meticulous attention to detail.

  • Ad Hoc Tasks

Handle additional responsibilities as needed, adapting quickly to shifting priorities in a fast-paced environment.

Qualifications

  • Experience:

1-4 years of experience in executive support, corporate governance, or a related field, preferably within the financial services or sustainability sectors.

  • Skills:

Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks effectively.

Strong written and verbal communication skills, with attention to detail and professionalism.

Proficiency in Microsoft Office Suite. Demonstrated ability to apply AI tools (e.g., ChatGPT, Copilot, or similar) to enhance efficiency

Discretion and integrity in handling confidential and sensitive information.

  • Education:

Bachelor's degree in Business Administration, Finance, Environmental Studies, or a related field; advanced degree or relevant certifications are a plus.

Proactive, adaptable, and able to work independently and collaboratively in a dynamic environment.

Strong interpersonal skills and the ability to build relationships with diverse stakeholders.

Availability to work weekends and flexibility to accommodate a demanding schedule.
