The Role

They are seeking a Wealth Management Concierge to work in close partnership with their advisors and leadership team. This role sits at the intersection of client service, operations, and execution—ensuring that client needs and internal priorities are handled with consistency and precision.

You will play a key role as part of a highly coordinated team responsible for delivering a seamless day-to-day client experience—scheduling appointments, managing workflows, aligning priorities, and ensuring thorough follow-through. Working closely with advisors, leadership, and other team members, this position helps keep clients, internal advisors, external partners, contractors, and other professionals connected and moving forward through in-person appointments, telephone conversations, and video meetings. In many respects, this role serves as the team's quarterback, helping coordinate efforts, anticipate needs, and ensure that everyone is working from the same playbook.

Key Responsibilities

  • Collaborate with advisors, team members, clients, external partners, contractors, and other professionals to coordinate client engagements, including scheduling in-person, telephone, and video appointments
  • Manage advisor and team calendars with a high degree of accuracy and foresight
  • Execute and oversee client-related paperwork and operational tasks with precision
  • Intake, triage, and prioritize incoming requests, escalating where appropriate
  • Multitask throughout the day by balancing calendars, incoming requests, client follow-ups, deadlines, and coordination with advisors, team members, and outside professionals while maintaining accuracy, professionalism, and timely follow-through
  • Maintain detailed and accurate records across systems and workflows
  • Support execution of firm initiatives, including marketing and client experience efforts
  • Track and monitor outstanding items to ensure timely completion

Qualifications

  • Bachelor's degree
  • 3–5 years of experience in a client service, operations, administrative, or executive assistant role, ideally supporting senior leaders, advisors, or high-touch professional clients; wealth management or financial services experience preferred
  • Demonstrated ability to manage complex calendars, prepare for meetings, handle confidential information, and coordinate priorities across busy professionals and leadership teams
  • Executive assistant skill set, including calendar ownership, meeting preparation, agenda coordination, travel or logistics planning, inbox and communication triage, document preparation, and disciplined follow-up on open items
  • Comfort working directly with senior leaders and high-touch clients, using sound judgment, professionalism, and discretion to manage sensitive requests and competing priorities
  • Strong proficiency with Microsoft Office and core business systems
  • Exceptional organizational, time management, multitasking, and prioritization skills, with the ability to remain focused and effective when managing competing demands
