Director of Client Operations
Job Description:
Our client is a boutique RIA, based in Dallas, TX. They are seeking a Director of Client Operations to join their team. The Director of Client Operations is responsible for owning and executing the firm's operational engine. This role ensures that all client service requests, account administration, trading support, billing, and operational workflows are handled accurately, on time, and with a high level of professionalism. This is a trust-based, execution-heavy role with increasing ownership over systems and processes. Success is defined by reliability, accuracy, proactive communication, and the ability to make operations run smoothly without constant oversight.
Operations & Execution
This is the primary accountability of the role and the largest performance driver. Responsibilities include:
- Executing and overseeing all custodial operational tasks (alerts, applications, signatures, account updates).
- Supporting advisor-directed trading and rebalancing with accuracy, timeliness, and proper documentation.
- Monitoring cash positions, deposits, and account activity to proactively identify issues or required actions.
- Maintaining accurate records across custodial platforms, CRM, planning software, and document storage.
- Ensuring operational tasks are completed the first time correctly, with minimal errors or rework.
- Documenting procedures and improving workflows to reduce friction and increase consistency.
Client Service & Support
This category reflects the quality and consistency of the client experience. Responsibilities include:
- Serving as the primary coordinator for client service requests, with clear ownership and follow-through.
- Responding promptly and professionally to client calls, emails, and requests during business hours.
- Coordinating meeting scheduling, confirmations, and preparation materials.
- Completing meeting follow-up tasks and action items within 72 hours.
- Maintaining consistent client touchpoints, including gifts, birthday acknowledgments, and special events.
- Anticipating client needs and proactively resolving issues.
Office & Team Support
This category ensures the firm operates smoothly day-to-day. Responsibilities include:
- Maintaining a consistent, reliable office presence and communication.
- Coordinating mail handling, document scanning, and file intake.
- Supporting team coordination and internal task flow.
- Ensuring the office environment and shared resources remain organized and functional.
Compliance & Billing
This category ensures regulatory and financial accuracy. Responsibilities include:
- Processing advisory billing accurately and on time, no later than the 4th business day following quarter-end.
- Reviewing billing for accuracy and maintaining supporting documentation.
- Completing operational compliance tasks according to the firm's compliance calendar and procedures.
- Maintaining organized, accessible records and files.
Qualifications
- At least 3-5+ years of experience in an operational/client service-related role at a financial planning firm.
- Bachelor's degree preferred
- Experience using RightCapital, Advyzon, Schwab and/or Altruist is a plus
Compensation and Benefits
- This position is a base-salaried role (starting around 100k, commensurate with experience) plus a generous bonus, with a target percentage of base salary subject to performance.

- Option to work remotely one day per week, not to be taken on days when clients are coming into the office.
