Client Service Associate

 Job Description:

Our client is a boutique wealth management firm serving high-net-worth families with complex financial lives. We're hiring a Client Service Associate to be the operational backbone of the firm. The person who keeps the back office running flawlessly so our advisors can stay focused on clients.

We're looking for an A-player who owns their work, anticipates needs before they surface, and takes pride in accuracy and follow-through. You'll run account operations, CRM, correspondence, and the day-to-day workflow of a growing practice. With more ownership and room to grow than you'd find at a national firm.

What You'll Own

Operations & Account Administration

  • Process new accounts, transfers, deposits, distributions, and service requests with a high degree of accuracy.
  • Prepare and submit account paperwork, tracking every item to completion.
  • Coordinate with advisors, our custodian, compliance, and back-office teams.

CRM & Data Integrity

  • Own the CRM, keeping client records, notes, and workflows current, accurate, and compliant.
  • Build and maintain repeatable processes and checklists for recurring work.

Communication & Inbox Management

  • Manage the firm's inbox and client correspondence — route, respond, and follow up promptly.
  • Serve as a reliable first point of contact for client service requests, escalating complex needs to the advisor.

Client Experience

  • Deliver a polished, personalized experience across every client interaction.
  • Prepare meeting spaces in advance — materials, technology, and hospitality details handled before clients arrive.
  • Coordinate post-meeting follow-up and milestone recognition (birthdays, anniversaries, life events).

Events, Webinars & Seminars

  • Help plan and execute client and prospect webinars and in-person seminars from start to finish.
  • Call registrants and prospects ahead of each webinar or seminar to confirm attendance, take meal orders, and log detailed notes in the CRM.
  • Research and compile background information on attendees so advisors walk in prepared.
  • At in-person seminars, greet prospects on-site, make them feel welcome, and schedule follow-up appointments with the advisor.

Office Management

  • Order supplies, manage mail, and keep the office pristine and client ready.

Required Qualifications
  • 2–3 years of experience in a Client Service Associate, Registered Client Associate, or similar client-facing support role within wealth management, private banking, or brokerage (e.g., JPMorgan, Wells Fargo, Merrill, Morgan Stanley, or a comparable wirehouse/bank platform).
  • Experience supporting a growing practice — ideally an advisor or team actively bringing in new clients and expanding AUM, not one focused solely on maintaining an existing book.
  • Experience directly supporting financial advisors or relationship managers.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).
  • Experience with a CRM platform (Salesforce, Redtail, Wealthbox, or similar).
  • Polished, professional verbal and written communication.
  • Comfort with technology and AI-assisted tools — we use them daily.
Preferred Qualifications
  • Familiarity with LPL Financial systems.
  • Knowledge of account types (IRA, brokerage, trust) and financial regulations.
  • Bachelor's degree.
