The Area Manager is responsible for monitoring all aspects of operations of the managed properties under his or her cluster specifically the four

(4) major responsibilities of property management such as administration and financial, technical services and maintenance, security and safety,

and janitorial and housekeeping

FINANCIAL

  • Manage Existing Clients to Attain Financial Stability.
  • Ensure Financial Health of the Condominium Corp Fiscal Responsibility.

OPERATIONAL EFFICIENCY

  • GOVERNANCE:
  • Ensure holding of timely and well-attended AGMM.
  • Innovate operations where applicable.
  • COMPLIANCE:
  • Ensure compliance with required Pro-Excel standards for Turn-over of New Projects/Building to Property Management Team.
  • REVIEW:
  • To ensure proper monitoring of Disbursements and Collections.
  • TECHNICAL
  • To ensure that no item in the previous QA/Technical Audit findings is reflected in the next QA Audit report.
  • REPORTORIAL
  • To ensure timely and complete submission of Incident Reports.
  • To ensure timely submission of Monthly Operations Reports.
  • To ensure timely submission of Minutes of the Board Meeting.
  • Ensures successful roll out / implementation of company-initiated innovations (e.g., MyHOme App)
  • Automatically acts as interim / OIC-BM / VM / EM / CM

COMMUNITY RELATIONS

  • Conduct regular community events.
  • Ensure 100% implementation of approved community activities for the year.
  • Ensure quarterly release of newsletter to update the community of the activities and improvements of each project.
  • Consistency in communication to residents (all kinds of circulars).
  • All scheduled and unscheduled PMO activities are circularized.
  • 100% review of circulars and coordinate with QA team to ensure it adheres to the standards of the company.
  • Address customer complaints effectively in a timely manner.
  • Consistent follow through of agreed action plans (condo corp/developer) until completion/resolved.
  • All concerns raised to Condo Corp / PMO during the AGMM / Meetings / Conversations are acted upon /

BOARD RELATIONS

  • Meet Expectations of BOT / Developer in the conduct of Property Management Services.
  • Positive rating from the Board.
  • Ensure 100% delivery of the pending projects as proposed to the BOT.
  • To hold regular Board Meetings and to ensure BOT is updated of any extraordinary issues/concern.
  • To hold regular coordination meeting with FLI Developer.

TIME MANAGEMENT

  • Always ensure complete team presence on site.
  • Complete Team Presence, 95% of the Time; minimal to zero occurrence of tardiness / unscheduled leaves.
  • 10% regrettable attrition of the team.
  • 100% participation of personnel during company-initiated activities.
  • Continuing Training
  • To ensure that personnel are well informed of policies, House Rules, Violations, MDDR/DOR provisions, guidelines and any updates / revisions to these processes and guidelines at all times.
  • Ensure proper filing, labeling, and monitoring of documents, files, plans, manuals, etc.
  • Proper monitoring and implementation of House rules, Policies and Procedures; Issuance of Violation tickets.
  • Zero occurrence of the use of obsolete / unofficial forms.
  • To ensure all personnel are well versed / familiar with Basic SOPs and ERT protocols.
  • Timely conduct and submission of Performance Evaluation/ Fire Safety Report.
  • Complete and timely submission of monthly reports to OH / Safety and Security Team.
  • Ensure compliance of each project in conducting 1x-2x a month ERT drills.
  • Service Providers Performance Evaluation report are reviewed and discussed by BMs/VMs with each Service Provider. Standards should be aligned across all projects.
