POSITION SUMMARY
The Labor Relations Lead (Case Management) is responsible for handling employee discipline cases involving less serious offenses punishable by suspension or lower penalties. The role ensures due process is strictly followed through proper documentation, case review, and facilitation of administrative hearings. The position also supports labor cases involving separated employees by attending SENA/NLRC hearings, coordinating with legal counsel, and assisting in case documentation, payment processing, and legal follow-through.
SCOPE AND RESPONSIBILITIES
Key Responsibilities:
Employee Discipline
- Handles all disciplinary cases involving less serious violations (e.g., attendance, minor misconduct) with penalties up to suspension.
- Reviews drafts of Notices to Explain (NTE) and Notices of Decision (NOD) prepared by staff for accuracy and due process compliance.
- Facilitates administrative hearings as the lead panelist and ensures proceedings are properly documented.
- Gathers and validates all necessary documents and evidence prior to the hearing to ensure completeness of case records.
- Coordinates with project HRs and supervisors to validate facts and confirm prior coaching or prior offenses.
Labor Relations
- Represents the company in SENA conferences and attends NLRC hearings as assigned.
- Coordinates with assigned legal counsel for ongoing cases and provides a case walk-through as the initial handler of the incident.
- Prepares requests for legal assistance through job orders in Saphire System and follows through until endorsement.
- Drafts quitclaims and settlement documents for complainants, ensures proper notarization, and confirms that signed originals are complete and legally valid.
- Oversees the safekeeping of all hardcopy documents related to hearings, settlements, and legal correspondence for future reference or legal defense.
- Processes payment requests related to settlements through Accumatica System and monitors release of checks.
- Attends legal team huddles to respond to inquiries and clarifications regarding ongoing cases.
Other HR-LR Support Functions:
- Provides first-level consultation to project HR and line managers on handling minor disciplinary issues.
- Maintains case trackers and ensures timely update and escalation of pending cases.
- Ensures proper archiving and handover of hearing documents, signed notices, and case resolutions.
COMPETENCIES AND SKILLED
- Proficient in drafting, reviewing, and validating disciplinary case documents
- Skilled in conducting administrative hearings and coordinating cross-functional inputs
- Strong coordination with Legal, Finance, and HR on time-sensitive labor matters
- Familiar with SAP (Saphire), Accumatica, or other HR/payroll systems
- Excellent attention to detail and case documentation
- Ability to manage sensitive cases with fairness, discretion, and urgency

QUALIFICATIONS
- Bachelors degree in Human Resource Management, Psychology, Legal Management, Political Science, or any related field.
- Basic understanding of the Labor Code and administrative due process is required
- At least 3 years of experience in labor relations, employee discipline, or HR case management.
- Prior experience in facilitating administrative hearings and coordinating with Legal for labor disputes (e.g., SENA or NLRC) is highly preferred.
- Exposure to settlement processing and documentation, including quitclaims, is an advantage.
