JOB SUMMARY:

The HR Talent Acquisition Assistant will play a key role in attracting, engaging, and retaining top talent for the organization. He/She will provide support to the Talent Acquisition initiatives, assist in various recruitment activities and ensure a seamless hiring process for the candidates, hiring managers and all stakeholders.

KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:

Applicant Sourcing, Interview Scheduling, Candidate Assessment and Endorsement:

  • Identify future talent needs and proactively recruiting and sourcing; develop talent pool or social engagements.
  • Assist in sourcing and screening potential candidates through various channels, including job boards, social media, and referrals.
  • Develop college/ universities recruiting programs and participate in employment events, such as career fairs.
  • Interview candidates to assess their qualifications for the vacant positions.
  • Manage interview schedules for both in-person and virtual interviews.
  • Arrange interview and assessment schedules with candidates and hiring managers.
  • Collaborate with hiring managers to gather feedback and endorse suitable candidates for further stages.

Exam Coordination:

  • Support the administration of pre-employment tests and assessments
  • Ensure a smooth testing process for candidates and maintain related records

Job Offer Preparation and Issuance, Pre-employment Requirements, Background Check and Pre-Onboarding Support:

  • Draft and issue job offers, ensuring accuracy and compliance with company policies.
  • Communicate offers to candidates and respond to any questions or concerns.
  • Coordinate and collect necessary pre-employment documents, such as references and qualifications.
  • Facilitate background checks and ensure compliance with company policies and legal requirements.
  • Ensure the completion of both pre-employment requirements.

201 Filing:

  • Maintain organized and confidential personnel records (201 files) for all candidates and employees.
  • Update and ensure the accuracy of employee data.

System Maintenance and Reports Creation:

  • Manage and update the applicant tracking system (ATS) with current candidate information.
  • Generate and distribute regular reports on recruitment metrics and activities to support decision-making.
  • Monitor and report accurate company/account attrition rate and fill rate.

Process Improvement:

  • Utilize and assess current and potential Talent Acquisition tools to improve HR processes efficiently.

Support on other HR Functions:

  • Assist on the planning and execution of the other activities of the business unit/s.
