Job Summary:

The Office and Property Admin Associate is responsible for managing administrative tasks and overseeing the maintenance, organization, and compliance of various properties, including ancestral houses, condominium units, and land properties. This role focuses on streamlining processes, ensuring efficient property management, and supporting the overall administrative operations to align with organizational goals.

Key Functions/ Duties and Responsibilities:

Property Management

  • Coordinate the upkeep, maintenance, and repairs of ancestral houses, condominium units, and other properties.
  • Ensure all properties comply with local regulations and standards.
  • Maintain an inventory of property assets, including records of ownership, lease agreements, and insurance policies.
  • Liaise with service providers, contractors, and tenants to address property-related concerns promptly.
  • Monitor property utility bills and other recurring expenses to ensure timely payments.

Administrative Tasks

  • Manage office-related administrative duties, such as document filing, scheduling meetings, and handling correspondence.
  • Oversee the procurement of office supplies and property-related necessities.
  • Support property transactions, including buying, selling, leasing, and transfer of ownership.
  • Prepare and maintain reports, budgets, and other documentation for property and office administration.
  • Assist in the development and implementation of streamlined processes for administrative and property management tasks.

Collaboration and Streamlining

  • Work closely with external clients and other team members to re-align roles and responsibilities for maximum efficiency.
  • Support the streamlining of administrative and property management workflows.
  • Ensure seamless communication and coordination between the office and property-related functions.

Qualifications:

  • Bachelors degree in Business Administration, Property Management, or a related field.
  • At least 2 years of experience in office administration or property management.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite applications.
