Job Summary:
The Family Services Associate provides high-level administrative support to the executive team, ensuring smooth and efficient operations. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various tasks to optimize executive productivity. The position requires excellent organizational skills, discretion, and the ability to work effectively in a dynamic, fast-paced environment.
Key Functions / Duties & Responsibilities:
- Administrative Support:
- Manage and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements.
- Handle confidential correspondence and communications on behalf of the executive.
- Prepare reports, presentations, and meeting minutes as required.
- Meeting Coordination:
- Plan and coordinate meetings, including agenda preparation, logistical arrangements, and follow-ups.
- Act as the main point of contact for internal and external stakeholders for meeting-related inquiries.
- Travel Management:
- Arrange travel itineraries, accommodations, and transportation for the executive and accompanying personnel.
- Process expense reports and reimbursement documentation.
- Office Coordination:
- Serve as a liaison between the executive and other departments or external stakeholders.
- Assist with administrative and operational tasks, including event planning, office supply management, and workflow improvements.
- Other Duties:
- Conduct research and prepare briefing materials for executive use.
- Handle ad hoc tasks and special projects as assigned.
- Bookkeeping and Bank Reconciliation
- Record daily financial transactions in books
- Prepare requests for payments
- Perform bank monthly bank reconciliations
Qualifications:
- Bachelor's/College Degree in any business course
- At least 2 to 3 years working experience specializing as Executive Support/Secretary/Admin Support/Bookkeeping or equivalent is preferred
- Excellent knowledge of MS Office and Sharepoint tools.
- Good communication skills both written and spoken.
- Ability to handle multiple priorities and deadlines.
- Basic Accounting skills, bank reconciliation and bookkeeping
