JOB SUMMARY: 

Assists and supports paralegals and lawyers by opening legal case files and ensuring that such files are updated. Prepares all the documents that each lawyer may need for trial. She handles office tasks such as managing schedules, booking appointments, and preventing conflicts, and ensures the efficient and effective administration of the office.


KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:

MAIN RESPONSIBILITIES

· Monitor Incoming documents 

· Receive pleadings/documents from Post Office (minimum of 30 letters)

· Receive pleadings/documents personally served by parties to a case or by any tribunal, court, or government agency.

· Scan and save received documents to overall incoming files.

· Locate case docket number, (ii) handling lawyer (iii) and folder number

· Read/browse pleadings/documents received and provide brief summaries in every email

· Send email to the assigned lawyers, copy furnish RLM and litigation staffs

· Ensure all pleadings/documents received are sent on the date of receipt.

· Notify Department Head about urgent matter and/or case/s to be addressed and resolved. 

· Calendar hearing dates and due dates of any pleading/submission based on the pleadings/documents received.

· Prepare a daily summary listing all of the pleadings, orders, documents received. The summary shall provide for the following details: case title and number (if applicable), name of pleading/order/document received with brief summary (i.e. dispositive portion or prayer), name of handling lawyer, action taken (i.e. scanned and email to handling lawyer). 

MONITOR FILED DOCUMENTS

· Scan all documents/pleadings submitted and filed to any government agency, tribunal, and court

· Email to lawyers scanned copies of documents and pleadings filed upon request · Ensure that the scanned copy is located in overall files.

· Prepare a master list (excel file) of scanned documents and pleadings for monitoring. The master list shall provide for the following details: date of filing, case title and number, document/pleading filed, mode of filing (RM or personal), and handling lawyer.

ASSIST IN FILING 

· Arrange pleadings and look for available messenger for filing 

· Create JO for notary

· Prepare adequate copies of pleadings and annexes for filing; prepare envelopes, return cards, and transmittals if service and/or filing of pleading is through registered mail,

· Ensure all pleadings are filed properly and on time

ASSIST LAWYERS FROM TIME TO TIME

· Do the Tax Shield of Atty. ELM, Atty. NPY & Atty. EPC.

· Create child ticket of what they did everyday (based on email). 

· Contact & Ask Operations for documents needed (ex: write ups).

EDUCATION, TRAININGS, LICENSES REQUIRED:

  • College graduate of any business course
  • Has at least 1 year of experience in related field
