About the job Executive Assistant

The Executive Assistant reports directly to the President &COO and provides administrative assistance to ensure efficient operations. He/ She manage the Executives daily schedule and set appointments accordingly. He/ She also provides support to the Senior Management team as needed.

DESCRIPTION OF FUNCTIONS:

DAILY OPERATIONS

  • Manage and maintain the daily schedule of the President/ COO
  • Coordinate and arrange Meetings for the team
  • Manages all appointment requests with the President & COO
  • Organize Logistics for meetings and events (venue, transportation, food etc.)
  • Handles documents/files for the President & COO's approval.
  • Provide daily assistance to the President &COO
  • Support the needs of the Senior Management team.
  • Perform other functions and task as needed.

ADMISNISTRATIVE DUTIES

  • Ensure the maintenance and filing of records of all pertinent documents of the company.
  • Prepare Request for Payment for all SOAs, Billing Statement and Invoices charge to the company
  • Act as Cash Custodian - Budget, document and verify the reimbursement of Petty cash of employees.
  • Create and verify Purchase Request for all items and supplies needed by the team.
  • Assist Finance in Collection follow ups of Accounts Receivables
  • Assist IT Helpdesk as needed.
  • Acts as contact person for both internal and external clients.
  • Act as Point of contact when dealing with Government offices when applying permits and other licenses.

Flexibility

EDUCATION, TRAININGS, LICENSES REQUIRED:

  • 4- year College Course
  • Experienced in assisting Heads and Executives in a Corporate environment.
