About the job Executive Assistant
The Executive Assistant reports directly to the President &COO and provides administrative assistance to ensure efficient operations. He/ She manage the Executives daily schedule and set appointments accordingly. He/ She also provides support to the Senior Management team as needed.
DESCRIPTION OF FUNCTIONS:
DAILY OPERATIONS
- Manage and maintain the daily schedule of the President/ COO
- Coordinate and arrange Meetings for the team
- Manages all appointment requests with the President & COO
- Organize Logistics for meetings and events (venue, transportation, food etc.)
- Handles documents/files for the President & COO's approval.
- Provide daily assistance to the President &COO
- Support the needs of the Senior Management team.
- Perform other functions and task as needed.
ADMISNISTRATIVE DUTIES
- Ensure the maintenance and filing of records of all pertinent documents of the company.
- Prepare Request for Payment for all SOAs, Billing Statement and Invoices charge to the company
- Act as Cash Custodian - Budget, document and verify the reimbursement of Petty cash of employees.
- Create and verify Purchase Request for all items and supplies needed by the team.
- Assist Finance in Collection follow ups of Accounts Receivables
- Assist IT Helpdesk as needed.
- Acts as contact person for both internal and external clients.
- Act as Point of contact when dealing with Government offices when applying permits and other licenses.

Communication and People Skills can respond effectively to inquiries and concerns.
Time Management Skills able to deal with multitude of task and a range of priorities.
Flexibility
EDUCATION, TRAININGS, LICENSES REQUIRED:
- 4- year College Course
- Experienced in assisting Heads and Executives in a Corporate environment.
