Job Summary

Duties and Responsibilities


A.             A.       On HOA Registration and Conveyance


·       Securing of Business Permit and renewal as necessary

·       Coordination and preparation for all related homeowners meetings, AGMM and other gathering as necessary

·       Assist in the securing of all subdivision related report in relation to conveyance such assets, copies of permits, as-built plans etc

·       Maintains records of lot owners such as contact details and addresses to serve as reference in HOA registration and collection

·       Site preparation and coordination in relation to LGU or DHSUD inspections

 

B.         On Collection Efficiency of Occupied Units

 

·         Ensure substantial collection of association dues on occupied units as required by Collection and Billing Department

·         See attached Association Dues Target as of this date

 

C.         On RFO Units UnSold and Not Yet Turned Over and Model Units

 

·       Acceptance and key custodian after Turn Over from PTG or DPI

·       Responsible for Unit Maintenance and Upkeep

·       Responsible for regular reports of unit count and status to the SMT Lead and SMTC Manager

·       Trigger and request repairs as needed

 

D.         On Subdivision Maintenance

 

·       Maintenance and Upkeep of Roads, Village Entrances, Amenities, Landscape and Open Spaces etc as assigned

·       Management of Manpower Utility and Security Guards as assigned

·       Coordinate with PD and prepare request for materials, services and equipment as necessary

 

 

·       Review and approval of Buyer plans on constructions, improvements and or renovations. Ensure compliance upon execution and impose sanctions or penalties as necessary.

·       Implementation of Master Deed and Declaration of Restrictions, Subdivision House Rules and Regulation, and House Design and Construction Guidelines.

·       Strictly ensure and monitor properties and units (house and lots, sold and unsold) are all free from any illegal and unauthorized occupants/dwellers.

·       To property coordinates with FLI-Security Service Department all issues pertaining to illegal occupants on all FLI properties.

 

E.         Other Functions:

 

·       Preparation of annual OPEX (for project with existing HOA)

·       Update Occupancy Status Report including Lots Only

·       Tagging of Occupancy Status in TMO

·       Application of Utilities and Facilities as directed by Project Development or the SMTC Team

·       Ensure availability of utilities and facilities and do the necessary coordination with the service providers as necessary

·       Attend to buyer, community, and customer concerns as necessary

·       Preparation and submission of PCO and/ or LLDA Report as applicable, per ECC compliance

·       Assist financing institution (HDMF, Bank, NHMF etc) during site inspection

·       Assist in Sales and marketing events or other company-initiated activities as maybe directed

·       See attached approved on payment collection dated 2019.

·       Payment of RPT of Non-Saleable Lots, function includes getting the assessment, paying upon check release and securing the receipt. RFPs will be prepared by the PD, Permits or the SMTC Team for their assigned project.

·       For sold units and turned over units, initial inspection and punchlist will be conducted by the SMT Specialist thereafter for endorsement to Contractor by PTG if still under warranty, if not for endorsement to PD (RTOU coordination) for proper action.

 

F.          Monthly Report due every 10th of the month covering the previous month:

 

·       Occupancy Report

·       Construction Report and Construction Bond Status

·       Collection Report on Occupied Lots with Billing Receipt Summary

·       Maintenance Report

·       Janitorial and Security Status

·       Development Report

·       Revolving Fund Usage

·       Site Issues

·       Incident report (as needed)

Technical Competencies and Skills

• Proficient in MS Office • Willing for a site-based
