About the job Executive Assistant
Job Summary
The Executive Assistant (EA) serves as a strategic partner to the President and CEO, providing high-level administrative, operational, and coordination support to ensure the executive office runs efficiently. The role requires exceptional organizational and communication skills, discretion, and the ability to manage multiple priorities in a dynamic environment—particularly within the context of a fast-paced power and energy company. The EA also liaises with senior leaders, government agencies, as needed and external stakeholders on behalf of the CEO.Duties and Responsibilities
50% Executive Support and Calendar
Management
- Manage the CEO’s calendar, schedule meetings, and
coordinate appointments with internal and external stakeholders.
- Screen, prioritize, and prepare responses to
communications and requests for the CEO.
- Ensure the CEO is well-prepared for meetings,
presentations, and speaking engagements.
- Organize and support executive-level
meetings, board sessions, investor engagements, and government-facing events.
30% Travel and Logistics Management
- Coordinate local and international
travel, hotel bookings, itinerary planning, and logistical requirements.
- Prepare travel briefings and ensure
seamless execution of engagements.
- Process travel-related
reimbursements and documentation.
20% Special Projects and Assignments
- Assist the CEO with high-priority activities
and sensitive matters.
- Maintain confidentiality and
professionalism at all times.
Perform other duties that may be assigned from time to time.
Technical Competencies and Skills
Executive Support & Prioritization, Meeting & Event Coordination, Stakeholder Management, Document Management & Governance, Digital ToolsEducation, Trainings and Licenses Required
Bachelor's degree in Business Administration, Management, Communications, At least 3-5 years of experience supporting C-level executives, Strong command of professional written and spoken English and Filipino, interpersonal skills, organizational skills, problem-solving skills, Ability to maintain discretion and handle sensitive information with the highest degree of integrity
