Job Summary
The Backroom Support Assistant is responsible for ensuring accurate preparation, issuance, and maintenance of financial and regulatory documents—most notably invoices, Official Receipts, and other required documentation for compliance. This role supports the billing and collection team by helping gather, verify, and organize necessary information, maintaining record-keeping systems, and assisting with tax filings and audits. The ideal candidate is detail-oriented, reliable, and understands or is willing to learn the documentary and regulatory requirement compliance.Duties and Responsibilities
Invoicing
& Receipt Documentation
·
Prepare and issue manual invoices, manual official receipts (ORs) and/or
convert existing ORs to invoices as required by new regulations.
·
Ensure that all invoices/ORs have the correct information (e.g. business
name, address, tax identification number, date, description of goods or
services, amount, VAT if applicable, serial numbers, etc.).

Maintain register / logbook of all issued invoices and ORs; track their
serial numbers, usage, unused stock.

Assist in completing documents required for compliance

Support in conversion or stamping of ORs to
invoices if mandated (or ensure supplementary documentation where required).

Ensure all required supporting documents are
collected, organized, and ready for BIR submission or audit
Record
Keeping & Filing
·
Maintain physical and/or digital filing system
for all documents (invoices, receipts, contracts, BIR forms, etc.), ensuring
easy retrieval
·
Archive all relevant documents in accordance
with company policy and regulatory requirements.
OTHER
FUNCTIONS
·
Assist with other backroom financial support
tasks as needed (data entry, discrepancies resolution).
·
Help maintain or update templates, systems or
procedures for documenting or processing invoices/ORs.
·
Ensure confidentiality, compliance, and proper
handling of sensitive financial data.
Technical Competencies and Skills
