About the job Customer Relations Assistant
The Customer Relations Staff will provide administrative support to the Customer Relations Manager in a variety of capacities. This role is crucial for maintaining efficient operations within the Customer Relations Department, assisting with communications, scheduling, and managing tasks that align with the organization's external outreach and relations efforts.
Duties and Responsibilities:
20% - Administrative Support:
Provide daily administrative support to the Customer Relations Manager, including managing calendars, processing EAM for RFPs and trip requests, filing OBT, and handling liquidations.
20% - Meeting and Event Coordination:
Assist in coordinating and organizing meetings, conferences, and events with external stakeholders, including venue booking, material preparation, and logistics management.
20% - Data Management:
Maintain accurate and up-to-date records of external relations, including contact databases, event schedules, and relevant correspondence.
20% - Research Assistance:
Research as needed for external affairs projects or outreach, providing the External Affairs Assistant Manager with insights and relevant information.
20%- Reporting and Follow-ups:
Monitor and report on the progress of various external affairs initiatives, following up with stakeholders as necessary to ensure all deadlines are met.
Experience:
1-2 years of administrative experience, preferably in an external affairs, communications, or public relations role.
Skills & Competencies:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Ability to manage multiple tasks and prioritize effectively.
- Professional demeanor with the ability to interact with external stakeholders courteously and efficiently.
- Detail-oriented and proactive with a strong sense of accountability.
Working Conditions:
- Full-time position with the possibility of occasional evening or weekend work depending on project deadlines or event scheduling.
- Occasional travel may be required for external meetings or events.
Education:
Bachelor’s degree in communications, public relations, business administration, or a related field is preferred.
