About the job Executive Assistant
JOB SUMMARY:
The Executive Assistant (EA) serves as a strategic partner providing high-level administrative, operational, and coordination support to ensure the executive office runs efficiently. The role requires exceptional organizational and communication skills, discretion, and the ability to manage multiple priorities in a dynamic environment particularly within the context of a fast-paced power and energy company. The EA also liaises with senior leaders, government agencies, as needed and to the external stakeholders.
Key Functions/Duties and responsibilities:
- Managers calendar, schedule meetings, and coordinate appointments with internal and external stakeholders.
- Screen, prioritize, and prepare responses to communications and requests
- Ensure that all meetings are well-prepared, presentations, and speaking engagements.
- Organize and support executive-level meetings, board sessions, investor engagements, and government-facing events.
- Travel and Logistics Management (15%)
- Coordinate local and international travel, hotel bookings, itinerary planning, and logistical requirements.
- Prepare travel briefings and ensure seamless execution of engagements.
- Process travel-related reimbursements and documentation.
- Special Projects and Assignments (10%)
Qualifications:
- Bachelor's degree in Business Administration, Management, Communications, or a related field
- At least 5+ years of experience supporting C-level executives
- Strong command of professional written and spoken English and Filipino Excellent interpersonal, organizational, and problem-solving skills.
- Ability to maintain discretion and handle sensitive information with the highest degree of integrity
- Willingness to work extended hours, travel occasionally, and adapt to changing priorities
- Digital Savy (Tools and equipment related to meeting setups)
- Strong Personality
