Role Overview

The Factory Administrator is a pivotal role responsible for ensuring the smooth operation of factory administrative processes. This position works closely with the Field Technician Manager and Factory Manager to support the overall production and maintenance activities. The Factory Administrator coordinates between departments, manages documentation, and ensures compliance with company policies and regulatory standards.

Key Responsibilities 

Administrative Coordination:

  • Manage leave and overtime submissions of the Field Technicians and ensure that they are submitted to Finance on a monthly basis before the payroll cut off date. 
  • Manage and maintain factory documentation, including production records, maintenance logs, and inventory reports.
  • Coordinate with the Field Technician Manager and Factory Manager to schedule maintenance activities and production shifts.
  • Assist in preparing and distributing reports, meeting minutes, and other communication materials.

Communication: 

  • Act as a point of contact between the factory floor, management, and external stakeholders.
  • Facilitate effective communication and collaboration between the Field Technician Manager, Factory Manager, and other departments.
  • Handle inquiries and provide information regarding factory operations and procedures.

Compliance & Documentation: 

  • Ensure all factory operations comply with company policies, health and safety regulations, and industry standards.
  • Maintain up-to-date records of compliance certifications, safety training, and equipment inspections.
  • Assist in the preparation and submission of regulatory documentation and reports.

Operational Support: 

  • Support the Factory Manager in implementing operational strategies and achieving production targets.
  • Assist the Field Technician Manager in tracking maintenance schedules and ensuring equipment availability.
  • Participate in process improvement initiatives and contribute to enhancing factory efficiency.

Data Management & Reporting 

  • Maintain accurate and organised records of production data, maintenance activities, and operational metrics.
  • Generate and analyse reports to support decision-making processes for the Factory Manager and Field Technician Manager.
  • Utilise factory management software and tools for data entry, tracking, and reporting purposes.

Requirement

  • Bachelors degree or Diploma in Business Administration, Industrial Management, or a related field
  • Proven experience in an administrative role within a manufacturing or industrial environment.
  • Familiarity with factory operations, maintenance processes, and inventory management.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and factory management software.
  • Strong data management and reporting skills.
  • Excellent written and verbal communication skills.
  • Ability to effectively interact with various levels of staff and external partners.
  • Strong organisational and multitasking abilities.
  • Attention to detail and ability to maintain accurate records.
