Job Overview

As the Bursary Administrator, you are responsible for administering bursaries to students on behalf of Student Villages clients. This role entails liaising with the Bursary Manager and the clients to understand their needs, compiling monthly payment schedules, collecting and maintaining student documentation needed for the bursary, liaising with students, and acting as their first point of call for any advice, support, or guidance linked to their bursary. Additionally, you are required to track the students academic performance to ensure the smooth and efficient running of the bursary.

Key Responsibilities

Implementation and Maintenance of Bursary Process:

  • Understand client needs and initiate the bursary process with potential bursars, including sourcing, screening candidates, and maintaining consistent communication.
  • Collect required documentation from potential bursars promptly.
  • Serve as the first point of contact for bursars, providing guidance, support, and assistance.
  • Ensure standardised support for all bursars, adhering to operating procedures.

Administration:

  • Compile monthly payment schedules for bursar stipends, accommodation payments, registration fees, and yearly fees.
  • Ensure timely collection and regular updating of student documentation, including academic transcripts, registration letters, progress reports, matric certificates, and ID copies.
  • Track students academic progress on a spreadsheet linked to their bursaries.

Student & Client Liaison:

  • Regularly liaise with students to provide support, guidance, and assistance.
  • Maintain monthly contact with students to address challenges or issues related to their bursary success.
  • Communicate consistently with clients, responding promptly to their emails, messages, and WhatsApp communications.

Team Collaboration and Representation:

  • Support the Bursary Team at Student Village to achieve collective goals.
  • Uphold and promote Student Villages culture and image in all interactions.

Requirements: 

  • Bachelors Degree in Human Resources, Psychology, Administration, or any relevant field.
  • 2-3 years experience in a similar role.
  • Experience in administration.
  • Experience liaising with clients.
  • Proficiency in Microsoft Office (Excel & Word)
  • Strong Communication Skills (Written & Verbal)
  • Administration Skills (organisation, filing, typing, etc.)
