Job brief
We are seeking a detail-oriented and experienced Company Secretary Officer to join our client's well-established, Hong Kong-based corporate services group, which has been supporting businesses for over three decades. The company provides a comprehensive, one-stop solution for businesses entering or operating in Hong Kong, China, and other onshore and offshore jurisdictions. Their services include company formation, statutory compliance, accounting, payroll, visa processing, and trade support. They leverage cloud technologies such as Xero and digital compliance tools to streamline operations, serving a broad client base that includes overseas and local businesses from small startups to multinational enterprises. Their clients span entrepreneurs, consultancies, manufacturers, trading firms, SMEs, and other startups.
This role involves managing a full range of company secretarial duties for Hong Kong and offshore companies, including company formations, compliance matters, and direct client communication. The ideal candidate will work closely with the Hong Kong team and must be fluent in Cantonese to effectively liaise with clients.
Responsibilities
- Handle client inquiries related to Hong Kong company registration, annual filings, and ad hoc secretarial tasks
- Manage company formations, business registrations, deregistrations, annual returns (NAR1), and changes to corporate structures
- Prepare board minutes, resolutions, statutory forms, and maintain statutory records and registers
- Liaise directly with clients on compliance matters, annual obligations, and company law requirements
- Ensure compliance with the Hong Kong Companies Ordinance and other relevant regulations
- Support senior management with advisory projects and special assignments
Requirements
- Diploma or Degree in Corporate Governance, Law, Business, or a related field
- 3 to 5 years of relevant company secretarial experience, preferably from a professional services firm
- Student member or graduate of HKCGI/ICSA preferred
- Strong knowledge of the Hong Kong Companies Ordinance and regulatory requirements
- Hands-on experience in company secretarial work
- Experience with CSA software or similar company secretarial systems preferred
- Detail-oriented with strong organizational and communication skills
- Good command of both spoken and written English and Cantonese; Mandarin is a plus.
Salary
RM 4,000 to RM 7,000 based on the experience
