Administrator/ CMMS Operator
Job Description:
The Administrator/ CMMS Operator ensure good functioning of the MEP service team manpower deployment. The Administrator/ CMMS Operator shall schedule, analyze and enter work order data in to the CAFM system and ensure decent follow up of the SLAs set out as per the contract for all types of works (PM, CM, RM)
Responsibility
The Administrator/ CMMS Operator is responsible for the timely acceptance, attendance, scheduling of all works based on the current to ensure contract SLAs are met.
The Administrator/ CMMS Operator is responsible for all work order data entry into the CAFM system on a timely basis and shall ensure comprehensive feedback from the site team is entered in the system for diagnosis, temporary or permanent solutions within the set out SLAs
The Administrator/ CMMS Operator is responsible to give proper reporting and analysis on efficiency and recurrent issues.
The Administrator/ CMMS Operator is to report on daily, monthly and yearly basis on issues regarding the CMMS operations and is to search actively for solutions in case SLAs are not met. Report formats to be adapted as per the need of the operations team.
The Administrator/ CMMS Operator is responsible together with the team to ensure 24/7 helpdesk hotline availability, to answer calls or receive emails and arranges teams for corrective actions. He/she will be responsible to give timely feedback on the BMS alarms by mail.
Making quotes for extra works based on bill of quantity. Organizing and scheduling of the extra activities.
Ensure correct administration for extra works from survey to invoice.
Management
Manage manpower as per given fixed and variable schedules;
Motivate technical staff to give timely and comprehensive feedback;
Monitor and demonstrate achievement of agreed service levels and to lead on improvement;
Operational
Develop, implement and communicate improved reporting and procedures on a continuous basis, always seeking greater efficiencies and higher customer satisfaction.
Maximize communication and synergy between technical between CMMS and operations;
Attend regular staff meetings;
Ensure other administrative tasks like archiving, document transmittals, all kind of reporting, etc...;
Ensure manpower is deployed in the best possible and efficient way.
Handle all kinds of administration and reporting tasks
To adhere to the IMS of Farnek and Client HSE requirements.
Authority
Authorised to liaise with FARNEK operations team and send feedback calls or mails to Client.
Authorised to accept work orders and assign it to the correct trade operations.
Authorised to follow up with trade operations & chase them on a day to day basis for closing work orders on time.
Authorised to send daily reports to client and providing feedback on alarms.
Authorised to coordinate & follow up with client side concierge teams.
Authorised to issue master keys for technical rooms to the requestors from FARNEK.
Skills Required
Knowledge of excel (pivot tables, macros) & databases is essential
Excellent verbal and written communication in English essential
Interpersonal skills;
Organization and systematic thinking
Research skills and the ability to draw information from various sources, including people;
Flexibility.
Qualifications:
Graduate Level
Other Requirements:
2 Years experience as a Administrator CMMS Operator, preferable MAXIMO 5.0 experience
Technical background, preferable
Exposure to a multicultural environment
