Software is seeking a
Office Assistant to help us with general office administration duties
and tasks. This is an entry level position for someone who is eager to
work in an office environment and help a company grow.
Responsibilities
- Responsible for answering all incoming office calls, anticipate and
address the needs of incoming guest calls, and function as the
gatekeeper for the office team
- Greet visitors promptly and direct them to the appropriate person
- Participate in maintaining our office culture by coordinating monthly office social activities
- Organize incoming mail and packages, as well as prepare outgoing deliveries for UPS and FedEx
- Proactively organize, maintain and order office equipment and other related supplies
- Organize and manage the booking of our corporate conference rooms
- Maintain the kitchen/break areas and restock the refrigerators and snacks
- Greet new employees and work with the team manager and IT to ensure their desk is set up upon arrival
- Work with HR to put together company-wide communication welcoming new
employees and clients, and help setting up their employee accounts.
- Support the marketing team by assisting with bulk gift card orders, gift card customer service and other emails
- Perform any ad hoc duties as requested
- Using live chat communication and support platforms, addressing any
inqueries and directing and assigning support requests to the right
team.
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage calendars, set up meetings, assist with agendas and organizing
- Make travel and accommodation arrangements
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Assist with certain office management responsibilities
- Format information for internal & external communication – memos, emails, presentations, etc.
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
Requirements
- A reliable vehicle to make it to work on time every day to our Scottsdale, AZ office.
- Experience in Microsoft Windows, Office, and Google products
- Not required but a plus if you have experience working in Atlassian products such as Confluence, Jira, or Trello.
- Strong work ethic and an ability to think quickly on their feet, as well as maintain a positive working environment
- Excellent verbal and written communications skills
- Flexibility to manage multiple tasks, interface with team members, change direction, etc.
- Must maintain a high level of discretion and confidentiality
