Position Overview
The Implementation Specialist is the client's main point of contact throughout their transition to our client, responsible for creating a smooth, welcoming, and positive onboarding experience.
This role combines project management, client relationship skills, and knowledge of payroll, timekeeping, and HR solutions. The ideal candidate takes ownership of the entire implementation, understands client needs, recommends solutions, and works with internal teams to ensure every service is successfully delivered.
Above all, we are looking for someone who is proactive, solution-oriented, and genuinely enjoys making complex processes feel simple and easy for clients.
Key Responsibilities
- Client Experience: Create a warm, professional experience, build trust, and make the transition to client as easy and stress-free as possible.
- Client Ownership: Serve as the client's main point of contact, proactively address challenges, and follow through until the implementation is complete.
- Discovery & Advisory: Conduct meaningful discovery calls to understand the client's business, identify needs, and recommend appropriate solutions and additional services.
- Project Management: Manage multiple implementations simultaneously, coordinate across departments, track outstanding items, and ensure all services included in the proposal are delivered.
- System Setup & Accuracy: Collect and validate client information, configure payroll, timekeeping, and HR systems, and ensure accurate setup before go-live.
- Client Training: Train clients on clients systems and ensure they feel confident using them independently.
- Communication: Communicate clearly and professionally with business owners, executives, and internal teams, making complex processes easy to understand.
- Implementation Completion: Support initial payrolls, confirm client readiness, and ensure a smooth handoff to ongoing support.
Qualifications
- 2–5 years of experience in payroll implementation, client onboarding, project management, or a related field.
- Excellent verbal and written communication skills, including confidence working with business owners and executives.
- Strong organizational skills with the ability to manage multiple projects and priorities.
- Exceptional attention to detail, accuracy, and follow-through.
- Proactive, resourceful, and solution-oriented, with a strong sense of ownership.
- Ability to work independently, collaborate across departments, and handle challenging client situations.
- Ability to learn complex systems and explain them in a simple, client-friendly way.
- Ability to handle sensitive and confidential information responsibly.
Preferred: Experience with payroll systems, earnings, deductions, tax withholding, timekeeping, or HR software.
